Position Summary
Under the direction of the Accounting Manager and Senior Accounting Clerk, this position supports the efficient and accurate operation of the Agency's fiscal functions. The role performs clerical and entry‑level accounting support duties, including document management, data entry, and cross‑trained backup support for Accounts Receivable and Accounts Payable functions. This is a non‑supervisory position requiring adherence to established fiscal procedures, accuracy standards, and deadlines.
Essential Functions At the time of hire, each employee will meet with their supervisor to set measurable goals and objectives. These measurables will be monitored by the supervisor and reviewed during the introductory period. They will also be utilized in the annual performance evaluation.
Fiscal Document Management and Administrative Support
Organize, file, scan, and maintain fiscal records in accordance with Agency policies and procedures.
Ensure current and prior‑year fiscal documents are accurately labeled and saved to designated shared drive locations.
Provide general administrative and clerical support to the Fiscal Department, including data entry and document preparation.
Accounts Receivable Support
With training, provide backup support for documenting daily cash receipts received by the Agency, including credit card, cash, check, and electronic funds transfers.
Record deposits in the Cash Receipts Log and related tracking documents in accordance with established procedures.
Assist with reconciling cash receipt documentation to bank deposits.
Provide coverage for Accounts Receivable functions during staff absences or periods of increased workload, as trained.
Accounts Payable Support
With training, provide backup assistance to the Accounts Payable function, including preparation and processing of purchase orders, invoices, and routine monthly expenses.
Assist with invoice processing and payment documentation to ensure accuracy and timely completion.
Follow established Agency procedures for payment processing.
Provide coverage for Accounts Payable functions during staff absences or periods of increased workload, as trained.
Knowledge, Skills, and Abilities
Working knowledge of bookkeeping theories and practices and accepted office procedures.
Ability to perform a volume of numerical detail work with speed and accuracy, to make difficult mathematical computations using a calculator by touch.
Ability to understand and follow complex oral and written instructions and technical or legal terminology.
Ability to prepare financial and other records in a systematic, neat, legible manner.
Ability to establish and maintain effective working relationships with co‑workers, a variety of governmental employees and officials, and the public.
Typing speed of at least 40 words per minute with high accuracy.
Professional attitude and appearance.
Timely completion of deadlines and assigned projects.
Awareness and appreciation of Native American culture, traditions, customs, and socioeconomic needs.
Promptness and minimal absences.
Education and Experience
High school diploma or equivalent required.
One (1) year of clerical, administrative, or entry‑level accounting support experience preferred.
Experience with basic financial records, data entry, or document management preferred.
Combination of education, training, or experience that provides the knowledge and ability to perform the essential functions may be considered.
Coursework in accounting, bookkeeping, or business administration is a plus but not required.
Proficiency with basic office software (e.g., Microsoft Excel, Word) preferred.
Physical Requirements The position requires the employee to use hands, reach, stoop, kneel, crouch, stand, walk, sit, climb, and balance. Regular lifting of up to 10 pounds is required. The role involves close, distance, color, peripheral, and depth vision, as well as normal hearing and speaking. The job is physically and emotionally challenging with high stress and potential exposure to body fluids and viruses.
Compensation & Benefits
Hourly Rate: $22.55–$23.46, depending on experience.
