Overview A leading private equity firm in New York City is seeking a highly organized, detail-oriented
Executive Assistant
to support its
Business Development and Investor Relations (IR)
team. This individual will play a critical role in enabling efficient fundraising, client communications, and relationship management. The ideal candidate thrives in a fast-paced environment, anticipates needs, and maintains exceptional professionalism across internal and external stakeholders.
Key Responsibilities Administrative & Operational Support
Provide proactive executive-level administrative support to senior leaders within Business Development and Investor Relations.
Manage complex calendars, coordinate internal and external meetings, and handle extensive scheduling across time zones.
Organize domestic and international travel logistics, itineraries, and expense reporting.
Prepare meeting materials, presentations, and briefing documents for fundraising and investor meetings.
Maintain meticulous organization of files, data, and team workflows.
Investor Relations & Client Communication
Serve as a polished and reliable point of contact for investors, prospective LPs, consultants, and other external partners.
Draft, review, and coordinate investor communications, meeting follow‑ups, and information requests.
Support the execution of fundraising processes, including tracking interest and managing the flow of materials to prospects.
Assist with planning investor events, roadshows, and conferences.
CRM & Data Management
Own and maintain the team’s CRM database, ensuring accurate, timely data entry and reporting.
Track investor activity, touchpoints, meeting notes, and fundraising pipelines within the CRM.
Generate CRM‑based reports and dashboards to support decision‑making and outreach efforts.
Qualifications
3–6+ years of relevant experience , with
prior Investor Relations experience
required (private equity or broader alternatives experience strongly preferred).
Prior CRM experience required
(e.g., Salesforce, Dynamo, DealCloud, or similar).
Direct experience with client or investor communication is a must , with strong verbal and written professionalism.
Exceptional organizational skills, attention to detail, and ability to manage competing priorities.
High level of discretion and judgment in handling sensitive information.
Proficiency in Microsoft Office Suite; strong PowerPoint and Excel skills preferred.
Strong interpersonal skills and ability to build trust across teams and with external stakeholders.
