Job Summary Provides a wide range of complex services to support senior vice president level executives who are engaged in the strategic management of the organization. Proactively relieves the executives of workload through a multitude of avenues including a strategic management of complex calendars to implement operating rhythms and ensure proper preparation, anticipation of issues before they arise, understanding the needs of the executives, and addressing gaps and opportunities. Administrative tasks such as answering questions, furnishing information, composing correspondence, gathering data, developing agendas for key meetings, and owning and optimizing travel logistics are within the scope of responsibility. This masterful problem‑solver and organizational force is flexible and adaptable to changing business needs, performing tasks necessary to ensure the executives meet their working obligations and deadlines efficiently and productively. 3 to 4 days onsite at Priority Health.

Essential Functions

Improves the productivity of the executives by working behind the scenes, partnering with others to limit distractions, and utilizing appropriate software applications to maximize efficiency.

Relieves executives of work by answering questions, furnishing information, reviewing incoming correspondence, composing replies, screening phone calls, and referring complex situations to the executives.

Prepares complex confidential information such as documents, reports, charts, and graphs, creates executive‑level communications and presentations, and performs independent research for ad‑hoc and ongoing projects.

Resolves problems requiring in-depth knowledge of organization policies and procedures, relaying information and informing executives of deviations.

Schedules appointments and manages complex calendars with independent judgment, initiates communication to ensure an efficient calendar, supports coordination of meetings, attends meetings, takes minutes, and follows up on action items.

Ensures confidentiality of all sensitive information, data, and communications.

Works closely with fellow Executive Specialists to foster collaboration and efficiencies and may provide back‑up in absence.

Establishes and maintains positive, effective working relationships with internal and external stakeholders, acting as an ambassador of the executive and Spectrum Health and modeling core values.

Qualifications Required

Associate’s degree or equivalent.

3 years of relevant experience supporting senior‑level executives.

Preferred

Bachelor’s degree.
