Position Summary Administers leaves of absence (LOA), ensures that employee leaves are tracked appropriately, and acts as liaison and resource for employees and management regarding leaves and leave processes.

Primary Job Responsibilities

Leads leaves of absence programs and ensures compliance with the Family and Medical Leave Act (FMLA) and Military Family Leave Act (MFLA), Americans with Disabilities Act Amendment Act (ADAAA), and the organization’s Workers’ Compensation (WC), Work Accommodations, Short Term Disability (STD), Long Term Disability (LTD), and other leave policies/plans.

Communicates with employees regarding their needs for leave, restrictions, and/or modified work schedules. Ensures employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

Acts as a liaison with the organization’s disability administrator and internal stakeholders to ensure proper administration of leaves of absence consistent with applicable laws and company policies.

Facilitates other leave requests, responsible for the interactive process of requests for accommodations under the ADA.

Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.

Reviews and recommends revisions to company leave policies as needed to ensure compliance with federal, state, and local laws and regulations.

Responsible for creating and maintaining accurate leave records and administering leaves within the Human Resources Information System (HRIS) and timekeeping system.

Maintains communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave as needed.

Coordinates the return-to-work process including the timely and accurate entry of return-to-work dates into the HRIS system and management of employee paid time off.

Monitors leave programs for on-going compliance of federal and state regulations for leaves of absence program and public notice postings for the company and affiliates.

Facilitates weekly issue resolution call with third party leave of absence administrator.

Collaborates and coordinates with HR Business Partners, the payroll department, employees, and management to ensure that proper communication and coordination takes place.

Acts as subject matter expert and provides general knowledge and training for employees and management regarding FMLA, ADA, WC, STD, and LTD.

Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.

Works with HR legal resources on an as-needed basis to ensure compliance with federal, state, and local regulations.

Minimum Requirements Position requires a bachelor’s degree in human resources, business administration, or a related field and three years of experience in leave of absence, human resources, and/or disability claims processing using a Human Resource Information System (HRIS). Previous experience administering disability claims in a union environment is preferred. Will accept any suitable combination of education, training, or experience. Position requires knowledge of relevant state and federal regulations; proficiency in Microsoft Office Suite; strong verbal and written communication skills; excellent interpersonal skills; excellent organizational skills and attention to detail; the ability to apply and interpret general principles to specific situations; the ability to work independently; effectively prioritize work and consistently meet daily, weekly, and monthly deadlines; and to identify and resolve problems.
