Senior Talent Acquisition Consultant at Gallagher Position Summary

The Leave Administrator is responsible for coordinating, administering, and tracking employee leaves of absence in accordance with federal, state, and company policies. This role serves as a primary liaison between employees, managers, HR partners, the organization’s Third-Party Administrator (TPA), and carriers administering ASO Short-Term Disability (STD). The Leave Administrator ensures timely processing, accurate documentation, and consistent communication to support employees throughout the leave and return‑to‑work process.

This position can be based in

Bellingham, MA or Purchase, NY

office locations. Must be onsite 3 days a week in a hybrid capacity.

RESPONSIBILITIES:

Leave Administration

Serve as the first point of contact for employees requesting leave under FMLA, state leave programs, company leave policies, and ASO STD.

Coordinate the intake, approval, certification, and tracking of all leaves with the TPA and/or ASO STD vendor.

Review TPA system updates, determinations, and certifications for accuracy and ensure alignment with company policy.

Process and maintain all documentation related to leave, including medical certifications, correspondence, and return-to-work documentation.

Monitor leave timelines, employee eligibility, intermittent use, and recertification requirements.

Track leave time using HRIS/leave management systems and ensure accurate data entry.

Employee & Manager Support

Provide clear, timely communication to employees regarding leave status, documentation needs, return-to-work requirements, and STD payment expectations.

Assist managers with understanding leave parameters, coverage planning, and compliance considerations.

Escalate complex or sensitive cases (ADA, extended leave, workplace restrictions) to senior HR or Leave Specialists as needed.

ASO STD Program Coordination

Partner with the ASO STD vendor to ensure timely claim intake, medical review, and benefit payment processing.

Validate STD claim decisions, ensuring accuracy and company policy compliance.

Reconcile STD payments and coordinate payroll adjustments as necessary.

Identify and resolve discrepancies between leave and disability determinations.

Compliance & Documentation

Ensure adherence to FMLA, ADA, state leave laws (e.g., PFML, PFL, Paid Sick Leave), and internal policies.

Maintain confidential employee records in compliance with HIPAA and data privacy standards.

Support audits, reporting, and quality assurance processes related to leave administration.

Build productive relationships with the TPA, ASO STD vendors, HR business partners, and payroll.

Recommend process improvements to enhance employee experience and operational efficiency.

Participate in training, policy updates, and system enhancement projects as assigned.

QUALIFICATIONS

Required

Minimum of 3+ years of experience in leave administration, benefits coordination, HR operations, or related field.

Working knowledge of FMLA, ADA, and common state leave laws.

Experience interacting with or managing leave through a TPA and/or ASO STD vendor.

Strong organization skills and high attention to detail.

Ability to maintain confidentiality and manage sensitive information.

Excellent written and verbal communication skills.

Proficiency with HRIS, leave management software, and Microsoft Office.

Preferred

Experience in a high‑volume leave administration environment.

Prior work with multiple state leave laws (NY, NJ, CA, MA, etc.).

Familiarity with Workers’ Compensation coordination.

Certification such as CPDM, SHRM‑CP, PHR, or similar.

Base pay range $70,000.00/yr - $85,000.00/yr
