Position Summary: The Legal Assistant (LA) plays a critical support role within the firm by providing high-quality administrative support to attorneys and paralegals. This position is designed to ensure the efficient execution of day-to-day legal operations by managing document preparation, file organization and maintenance, scheduling, and case support activities, allowing attorneys and paralegals to focus on substantive legal work.
The Legal Assistant must demonstrate exceptional attention to detail, strong organizational skills, and sound judgment, particularly in a fast-paced environment where priorities may shift and deadlines are often time-sensitive.
Key Responsibilities
Proofread, format, finalize, and prepare correspondence, letters, contracts, memoranda, and other legal documents for attorney review and distribution
Prepare simple pleadings, including notices of depositions and standard court filings
Print, assemble, and organize binders for trials, hearings, and internal use
Prepare and maintain hard copy files, including filing documents accurately and timely
Assist with electronic file organization and document management
Open and close legal matters, prepare closing letters, and maintain recovery reports
Assist with case management and docketing responsibilities to support attorneys and paralegals
Track deadlines and ensure documents are prepared, filed, or distributed in a timely manner
Support electronic filing in state and federal courts
Assist attorneys and paralegals with trial and hearing preparation, including preparing exhibits and trial/hearing binders
Ensuring all required documents are finalized, formatted and ready in advance of deadlines
Proofreading and finalizing attorney notes, outlines, or examination materials as requested
Communicate regularly with attorneys, paralegals, and internal staff to coordinate work and deadlines
Schedule client meetings and internal meetings as requested by attorneys
Maintain strict confidentiality protocols at all times
Handle mail, printing, scanning, and distribution of documents
Save and organize emails and correspondence into appropriate matter files
Assist occasionally with expense reports or administrative tasks for non-partner attorneys, as needed
Work within the firm’s legal and administrative systems to complete assigned tasks, including NetDocuments, Microsoft Outlook, CARET and Rippe
Assist with front desk lunch coverage
Perform other duties as assigned
Qualifications
Bachelors degree is preferred
1+ years of office experience strongly preferred; legal office experience is a plus
Exceptional attention to detail, particularly with proofreading and document formatting and preparation
Strong proficiency in Microsoft Office
Ability to learn and work effectively in new legal and business systems
Strong organizational skills with the ability to track tasks, deadlines, and checklists
Ability to think through problems logically and independently
Effective written and verbal communication skills
High level of discretion and commitment to confidentiality
Comfortable communicating directly with attorneys, paralegals, upper management, and partners
Proven ability to multitask and perform under pressure, particularly when deadlines arise unexpectedly
