Position Summary

The Facility Operations Coordinator is responsible for scheduling, maintaining, and overseeing the daily operations of three Recreation Centers: Arrillaga Outdoor Education and Recreation Center, Arrillaga Center for Sports and Recreation, and Arrillaga Recreation Center at SLAC. Duties include interior and exterior space scheduling, safety and security, budget oversight, and collaboration with Recreation and Wellness.

Core Duties Facility Management

Serve as facility operations and maintenance point of contact.

Inspect facilities for maintenance, janitorial, and fire‑safety issues.

Implement and update policies for access, emergency action, SOPs, cleanliness, and preventive maintenance.

Monitor work‑order status to ensure timely repairs.

Direct facility closures, maintenance shutdowns, and long‑term projects.

Coordinate with contractors to avoid disruptions.

Manage energy and water conservation.

Ensure compliance with federal, state, and county health and safety regulations.

Develop security programs, distribute keys, monitor access, assess infrastructure and door schedules.

Coordinate communications services and provide updates to building occupants.

Administrative

Prepare and monitor budgets.

Administer departmental scheduling software (25Live) for multipurpose rooms, courts, and classrooms.

Create rental contracts, cost estimates, and invoices.

Communicate quarterly space schedules via email, meetings, and signage.

Ensure rooms are properly set up before/after use.

Lead facility contact for Big 5 events (New Student Orientation, Reunion Homecoming, etc.).

Coordinate facility event setup/takedown and provide on‑site support.

Prepare event checklists and diagrams for staff.

Schedule event staff (red coats, janitorial, event services).

Coordinate purchasing, inventory, and maintenance of office and mechanical equipment.

Other duties as assigned.

Minimum Requirements Education and Experience

Bachelor’s degree (sports management or related field preferred).

Prior and relevant experience in facilities management, including scheduling, event coordination, maintenance, health and fitness, or aquatics.

Knowledge, Skills, and Abilities

Analytical skills for tracking space, equipment, and financial data.

Strong interpersonal communication with diverse stakeholders.

Coordination of daily activities with competing priorities.

Ability to follow written and verbal directions.

Working knowledge of Microsoft Excel and Word.

Policy analysis and interpretation.

High‑standard customer service.

Certifications and Licenses

CPR, AED, and First Aid (or the ability to obtain upon hiring).

Valid California non‑commercial Class C driver’s license.

Physical Requirements

Frequent standing/walking; seated tasks; computer use.

Occasional climbing, twisting, reaching, fine manipulation, telephone use, hand writing, and lifting ≤20 lb.

Rarely kneeling/crawling, lifting >40 lb, sorting, or filing.

Ability to drive day & night.

Working Standards

Odd‑hour work, evenings, weekends, and occasional extended hours.

24‑hour emergency availability, seven days per week.

Exposure to noise >80 dB TWA, heights 4–10 ft.

Compliance with U.S. Vehicle Code and Stanford driving requirements.

Interpersonal skills; safety culture; adherence to University policies.

Compensation

Annual salary range: $83,000 – $90,000. Pay determined by experience, qualifications, and budget. Benefits and detailed rewards available on Stanford’s Cardinal at Work website.
