Program Coordinator THMEP – Tucson Medical Center

Coordinates educational and departmental activities for the residency/fellowship and medical student programs. Provides administrative support to program leadership and serves as liaison between faculty, residents, fellows, students, and institutional offices. Manages all aspects of graduate and undergraduate medical education (GME/UME).

Essential Functions

Provide day‑to‑day administrative and operational support to the Program Director and residency program.

Coordinate meetings, agendas, minutes, reports and data for the Residency/Fellowship Program Committees.

Manage recruitment processes: review applications, schedule interviews, communicate with applicants, and maintain ERAS.

Maintain program documentation: ACGME applications, accreditation surveys, GME Track, credentialing, and personnel records.

Support onboarding and orientation for new residents, fellows and medical students.

Coordinate in‑training exams, faculty development, scholarly activity, and wellness initiatives.

Oversee budget planning, financial tracking, and justification for resident/fellow funding.

Develop and maintain program materials, including brochures, forms, and website content.

Plan and coordinate program events (e.g., welcome events, journal clubs, and graduation).

Supervise temporary administrative staff as needed.

Serve as liaison with internal departments, affiliated hospitals, and external agencies.

Ensure compliance with institutional and regulatory policies.

Handle general office functions, including calls, walk‑ins, and ongoing projects (e.g., digitizing records).

Perform related duties as assigned.

Minimum Qualifications Education:

Bachelor’s degree in health care administration or related field desired. Equivalent appropriate prior work experience accepted.

Experience:

Minimum two (2) years’ experience in supervision and development of support personnel. Two (2)+ years in program administration and program implementation.

License or Certification:

None required.

Knowledge, Skills, and Abilities

Computer and database management

Research and data analysis skills

Excellent verbal and written skills

Ability to work collaboratively and effectively with other departments and outside agencies.

Ability to work with individuals from different countries and cultures.

Familiarity with Human Resources issues and policies.

Skills in coordinating multiple, simultaneous ongoing program demands.

Knowledgeable in budget preparation and allocations.

Experienced in organizational abilities including attention to detail, dependability, and trustworthiness.
