Job Description Ensure that all group bookings are handled and processed efficiently and correctly, working closely with the Sales & Convention Services Departments. Assist the Reservations Manager and Director of Revenue Management with day‑to‑day departmental activities as needed.
Responsibilities
Reports to the Reservations Manager and Supervisor within the Revenue Management Department
Creates and maintains group & transient room blocks, ensuring correct billing and necessary information
Reviews group blocks for cutoff date extensions and monitors them prior, during, and after group dates
Attends weekly group pick‑up meetings
Runs group arrivals lists daily for future arrival dates and no‑show reports daily
Checks for duplicate reservations by calling duplicate reservations to verify guest names and special requests
Identifies and corrects group reservation errors, contacting the caller or group contact to verify information
Works with the Convention Service Manager and group clients on rooming lists, reservation changes, and billing according to contract and email history
Completes the Group Commission Report after group departure
Monitors room type availability daily
Monitors non‑guaranteed reservations daily and contacts callers if needed
Handles in‑house reservation calls from customers and OmniRez agents regarding property assistance or reservation matters
Monitors Internet and FIT bookings, availability, and billing; completes commission payment requests accordingly
Assists with VIP and internal reservations, communicating issues to the Reservations Manager or OmniRez HelpDesk Supervisor
Assists with all email reservations
Researches outstanding Travel Agent Commissions for groups
Researches and charges for all no‑shows, cancellations, and deposits
Performs other reservation tasks or duties assigned by leadership
Qualifications
Knowledge of four‑diamond / four‑star customer service standards
Previous experience in a Luxury Hotel Customer Service / Reservations (strongly preferred)
Experience with FDC Delphi, Opera ORS, and Opera PMS (strongly preferred)
Previous experience using Passkey (preferred)
Proficient computer skills on Microsoft Office, Excel, and Word
Excellent and professional communication skills
Highly detailed and able to maintain excellent organizational skills in a fast‑paced environment
Ability to multi‑task while working on up to 50‑60 future groups
