Position Overview
The Assistant position is a newly created position due to company growth. The Assistant is an entry-level position, and will be responsible for providing high-level administrative support to the Chief Executive Officer and Chief Client Officer, as well as assisting with special projects and tasks. This position requires work to be performed outside of typical business hours to assist with calendar management, travel accommodations, and respond to time‑sensitive requests.
As an Assistant, you will:
Executive Support:
Provide high‑level operational support to Chief Executive Officer (CEO) and Chief Client Officer (CCO) with little to no supervision.
Calendar Management:
Autonomously manage the calendars of the CEO and CCO including scheduling meetings, conferences, appointments, and special events; independently resolve conflicts, prioritize requests, and confirm details.
Travel Accommodations:
Arrange and book all travel accommodations for the CEO and CCO.
Expense Reimbursement:
Manage expenses and submit correct documentation for reimbursements through Concur Travel and Expense on behalf of the CEO and CCO.
Relationship Management:
Build trust‑based relationships with key stakeholders, internal partners, and member company contacts.
Executive Meeting Management:
Prepare briefing materials, agendas, and packets for internal and external meetings. Attend meetings and take notes as requested.
Multi‑Day Offsite Meeting Coordination:
Coordinate travel, food and dining, and meeting arrangements for multi‑day, offsite conferences several times per year.
Communication:
Quickly and accurately respond to inquiries via phone call, email, Teams, and other communication channels; work cross‑functionally with Operations, Finance, HR, and member company teams to support executive priorities.
Ad‑hoc Projects:
Carry out special projects and tasks as needed to achieve departmental and company goals.
To be successful, you will need:
Ability to provide executive support to C‑suite leaders
Excellent interpersonal and customer service skills
Advanced written and verbal communication skills
The ability to proactively anticipate and respond to business needs
Excellent organizational skills and attention to detail
Experience with Microsoft Office including Word, PowerPoint, and Outlook
Proven ability to operate with integrity and ethics, and maintain highest standards of confidentiality
Willingness and ability to meet and exceed established deadlines
Dependability and reliability
Be able to adjust to flexible work schedules
We prefer that you have:
Experience or exposure to the government relations and public affairs industry
