Advanced Recovery Specialists Pay Range Base pay: $65,000.00–$75,000.00 per year.

About the Role The Legal Administrative Assistant provides administrative and clerical support across the legal, compliance, and administrative teams, ensuring that contracts, payer documentation, and regulatory records are accurately maintained. This role helps safeguard compliance with healthcare laws, payer requirements, and internal policies.

Key Responsibilities

Prepare, proofread, and format legal documents, agreements, and correspondence (e.g., BAAs, vendor contracts, NDAs, payer agreements).

Maintain organized digital and physical filing systems for contracts, licensure, compliance records, and legal correspondence.

Track renewal and expiration dates for contracts, certificates, and insurance documents.

Collaborate with operations and billing departments to gather documentation for legal reviews, audits, or appeals.

Support compliance activities, including HIPAA documentation, training tracking, and policy revisions.

Assist with reviewing and compiling evidence for insurance appeals, claim disputes, or payer audits.

Maintain updated documentation supporting DME licensure, accreditation, and insurance requirements.

Schedule and prepare materials for meetings, audits, hearings, or internal reviews.

Process and route invoices, legal correspondence, and confidential materials following company policy.

Conduct basic research on regulations, statutes, or compliance requirements related to healthcare operations.

Provide general office support such as mail processing and assistance in backup coverage for administrative team functions during high-volume periods or absences.

Preferred Qualifications

Associate degree or higher in Legal Studies, Business Administration, or a related field.

2+ years of administrative experience supporting legal, compliance, or contracting functions.

Prior experience in the medical, healthcare, or insurance industry strongly preferred.

Experience with Microsoft Office, HRIS platforms, and/or order management systems.

Familiarity with legal terminology and processes related to medical contracts, appeals, and compliance.

Experience with NetSuite, SharePoint, or other ERP/document systems.

Knowledge of Medicare, Medicaid, VA, and workers’ compensation rules.

Paralegal certificate or legal administrative assistant certification.

Exposure to DMEPOS accreditation requirements or audit preparation.
