Summary The Wealth Management Associate role involves both proactive and reactive client interactions. You will manage daily workflows, ensure clients are scheduled and supported according to a defined segmentation model, and enable the advisor to focus on strategic planning and maintaining high-value relationships.

This position combines administrative accuracy, relationship coordination, and effective process management. You'll be deeply embedded in a top‑tier advisory practice where high standards, a fast pace, and clear expectations are the norm.

Responsibilities

Act as the primary contact for all client communications via phone and email.

Address client service inquiries directly or direct them to the appropriate internal resource.

Maintain a professional and responsive demeanor that reflects the firm’s premium brand.

Manage the Financial Advisor's calendar, scheduling client meetings based on service tiers.

Ensure timely confirmations and pre‑meeting preparations.

Prepare and organize meeting materials using firm templates and checklists.

Track and ensure follow‑up tasks are completed post‑meeting.

Keep workflows, tasks, and service items accurate in the Client Relationship Management (CRM) system.

Provide the Financial Advisor with a weekly status report on workflow progress.

Work with the Financial Advisor operations support team to resolve any bottlenecks or delays.

Collect and organize client data and documentation required for account opening or financial reviews.

Submit complete paperwork packages, monitor for NIGOs, and ensure resolutions.

Assist with proposal generation and data entry into financial planning tools as needed.

Maintain up‑to‑date prospect lists and track activities.

Support logistics for client appreciation events and educational seminars.

Coordinate targeted outreach aligned with the advisor’s marketing calendar.

Ensure client meetings are completed as scheduled.

Maintain calendar accuracy with no missed or late meetings.

Deliver consistent and professional client communication.

Requirements Skills/Experience/Education

Bachelor's degree or similar work experience in banking, financial services, business administration, or a related field is preferred.

Proven experience (1‑3 years) in a similar role within the financial services industry is advantageous.

Financial services experience preferred, particularly within wealth management or financial planning.

Familiarity with CRM tools, scheduling software, and financial documentation.

Series 7 and 66 licenses preferred or willingness to pursue within 180 days of hire.

Proficiency with basic computer skills and Microsoft Office software.

Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.

Excellent attention to detail and accuracy in data entry and record‑keeping.

Outstanding communication skills, both verbal and written, with the ability to interact professionally with clients and team members.

Strong analytical and problem‑solving abilities.

High level of professionalism and integrity in handling sensitive client information.

Ability to work independently as well as collaboratively in a team‑oriented environment.

Knowledge of relevant regulatory frameworks and compliance procedures.

Essential Mental & Physical Requirements

Ability to travel if required to perform the essential job functions.

Ability to work under stress and meet deadlines.

Ability to read and interpret a document if required to perform the essential job functions.

Prolonged periods of sitting at a desk and working on a computer may be required.

Ability to lift/move/carry approximately 15 pounds if required to perform the essential job functions.
