Department Summary UCLA Life Sciences Division is one of the largest and most dynamic academic divisions on campus, comprising seven academic departments, seven interdepartmental degree programs, three institutes, and nine research centers dedicated to advancing knowledge of living systems. Position Summary Under the direction of the Executive Director of Research Administration (EDRA), the Senior Academic Payroll Analyst independently manages all personnel and payroll actions for faculty and other academics across the biology units within the Division of Life Sciences, which includes seven departments, seven interdepartmental degree programs, three institutes, and nine centers. The role involves analyzing transactions, prioritizing workload, and ensuring accurate processing using systems such as UCPath, CDW, QDB, and OPUS. The position is based in the Life Sciences Dean’s Office. The Analyst serves as a liaison to central academic and administrative units and provides analytical support to department leadership.

Key Responsibilities

Coordinate payroll and personnel actions.

Maintain electronic personnel records.

Track sabbatical accruals and histories.

Manage leaves of absence.

Process special compensation actions (e.g., NSP, summer ninths, summer sessions).

Submit funding entries and direct retros.

Resolve payroll and benefits issues.

Serve as the departmental subject matter expert for UCPath and Tracker I-9 administration.

Provide analytical support, preparing reports and data for strategic decision‑making.

Qualifications

4–6 years of academic personnel and payroll experience within a university setting (required).

Advanced knowledge of university academic personnel and payroll policies, procedures, and organizational structure (required).

Detailed working knowledge of online personnel and payroll systems and forms (required).

Knowledge of University of California policies and procedures, including UCLA CAL and APM (preferred).

Proficiency in UCPath, QDB, OPUS, Academic UC Recruit, Interfolio, Tracker I-9, and other campus tools (preferred).

Analytical ability to coordinate projects, prioritize work, and meet deadlines (required).

Independent problem‑solving skills, initiative, and adaptability (required).

Strong organizational skills, confidentiality, and acute attention to detail (required).

Knowledge of health plans, FML, leave of absence, retirement plans, and other benefits (required).

Advanced mathematical and quantitative skills for payroll calculations and financial analysis; intermediate to advanced Excel (required).

Superior writing, editing, and presentation skills (required).

Education, Licenses, Certifications & Personal Affiliations

Bachelor’s degree in a related field and/or equivalent experience/training (required).
