Regular Job Summary
Act as the primary administrative support for a school Chair providing office related services including correspondence, report preparation, file maintenance, meeting coordination and related functions. Responsibilities
Manage calendar, coordinate meetings, make travel arrangements and plan events. Coordinate recurring administrative processes in support of the chair (re‑appointments, promotions, tenure, etc.). Prepare correspondence and reports; assist in collecting statistical data, conducting analyses and report preparation. Maintain office filing system. Support faculty recruitment by initiating the interview process and serving as the primary point of contact for candidates. Process HR paperwork for research faculty new hires and department affiliates (immigration paperwork). Assist with logistics of conference planning, seminars, special school events and development activities. Assist with onboarding and offboarding of faculty and staff. Act as the primary administrative support to the Chair, including managing correspondence, preparing reports, maintaining files, and coordinating meetings. Oversee PCard transactions. Plan and coordinate departmental events. Support faculty recruitment by initiating the interview process and serving as the primary point of contact for candidates. Manage the faculty annual review process to ensure compliance with institute requirements. Interpret and communicate administrative policies; develop and refine internal procedures. Utilize the PROMOTE system to manage academic promotion, tenure, research faculty promotion, and critical review processes. Coordinate unit purchasing activities. Review and approve correspondence, OneUSG, and Workday transactions on behalf of the Chair. Certify monthly time reporting for faculty and staff. Provide general administrative assistance as needed. Required Qualifications
Technical Diploma, Associate's Degree or equivalent combination of education and experience. Four to six years of job related experience. Overnight travel required for project delivery; flexibility in on‑site daily service delivery hours. Preferred Qualifications
