The Senior Care Asset Management Administrator provides essential administrative and organizational support to the Asset Management team responsible for a national healthcare real estate portfolio. This role focuses on maintaining accurate records, coordinating departmental workflows, and assisting with routine reporting and communication. The Administrator ensures smooth daily operations by supporting file management, scheduling, data entry, and document preparation. This position is ideal for a detail-oriented and proactive individual looking to grow in a professional real estate environment.
Responsibilities
Maintain organized electronic filing systems, ensuring accurate naming conventions, document storage, and version control for leases, reports, financials, and correspondence.
Assist in preparing routine reports and updating spreadsheets using existing templates (e.g., monthly reporting logs, compliance trackers, lease abstracts).
Track and monitor recurring deadlines such as reporting submissions, lease renewals, insurance certificates, and compliance due dates.
Support meeting logistics, including scheduling, preparing agendas, distributing materials, and recording follow-up items.
Collect, organize, and distribute monthly and quarterly operator and property manager reports.
Provide administrative support for vendor onboarding, contract routing, and invoice processing for capital projects or operational needs.
Assist with data entry and information updates across internal tracking systems.
Prepare basic correspondence, forms, and internal communications as needed.
Coordinate with internal departments (Accounting, Legal, Investments) to support document and information flow.
Perform general administrative tasks and support special projects assigned by the Asset Management team.
All other duties as assigned.
Qualifications & Requirements
Strong organizational skills with excellent attention to detail and accuracy.
Effective written and verbal communication abilities.
Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint; ability to learn industry-specific software.
Ability to manage multiple tasks and prioritize deadlines in a fast-paced environment.
Professional, dependable, and proactive approach to supporting team needs.
Strong sense of teamwork and willingness to assist wherever needed.
Education and Experience
Associate degree or bachelor’s degree preferred; relevant administrative experience may be considered in place of degree.
1–2 years of administrative or coordination experience, ideally in real estate, healthcare, finance, or a corporate setting.
Familiarity with real estate terminology or financial documents is helpful but not required.
Physical Requirements This position may require the ability to lift and carry up to 25 pounds, stand or sit for extended periods, and perform typical office-related tasks.
