Overview STR is seeking a highly organized and proactive Facilities Coordinator to join our team in Arlington, VA. This position will have overall responsibility for all aspects of shipping and receiving for the site, and will also assist in ensuring the smooth operation and maintenance of our facilities, including managing vendor relationships, coordinating maintenance activities, and supporting overall functionality and safety of the workplace. This role requires a detail-oriented individual with excellent communication skills and the ability to multitask.

Key Responsibilities Shipping and Receiving

Coordinate and track all incoming and outgoing shipments ensuring accurate and timely processing, including all related administrative tasks

Coordinate with internal divisions to ensure proper handling and distribution of materials and equipment

Maintain accurate records of all shipping and receiving activities, including tracking and documentation

Ensure compliance with all relevant shipping regulations and guidelines

Manage and schedule loading dock deliveries and shipment activities

Facilities Maintenance and Operations Support

Assist in coordination and oversight of maintenance and repairs of the facility

Assist in managing relationships with external vendors and service providers, including EHS services, janitorial services, security, maintenance contractors, and catering deliveries

Maintain accurate records of facility-related activities, including maintenance schedules, vendor contracts, and safety inspections

Assist with budget preparation and monitoring for facility-related expenses ensuring accuracy and compliance with contracts

Escort vendors into lab spaces as needed while ensuring safety and compliance

Maintain inventory of office supplies, including office furniture and equipment

Assist in space planning and office layout changes to optimize the use of available space

Coordinate office moves, including the relocation of furniture and equipment

Maintain compliance with health and safety regulations and company policies

Collaborate and support regular safety audits and drills and maintain records of safety inspections

Assist in addressing and resolving safety concerns or incidents promptly

Collaborate and communicate effectively with other STR sites

Provide general administrative support to the Facilities Manager and other team members as needed

Ensure the cleanliness and organization of the facility, including common areas, meeting rooms, and workspaces

Other duties as assigned

Experience and Qualifications

Bachelor’s degree or equivalent work experience

1-2 years of experience in Facilities Operations, Site Coordination, or similar roles

Proficient with Microsoft Office (Outlook, Excel, Word, PowerPoint, VISIO); CAD experience a plus

Self-starter with strong organization, time management, and attention to detail

Comfortable managing shifting priorities in a fast-paced environment

Excellent communications and interpersonal skills to support staff and liaise with external vendors

Strong customer service orientation with collaborative, team-first attitude

Enthusiasm to learn, grow, and expand responsibilities across operational domains.

Ability to lift up to 40 LBS

Pay Information Full-Time Salary Range: $50,400 - $67,000

The salary range listed is based on external market data. Offers are based on factors, including but not limited to, the candidate’s experience, education, training, key skills/critical skills, security clearances, and prevailing market and business conditions.

This position requires the ability to obtain a security clearance, for which U.S. citizenship is needed by U.S. Government.
