Duties & Responsibilities
Jr Analysts in District 1 and District 2 Offices will plan and provide analytical support for facilitation, training, methodology development and evaluation, business management techniques, and organizational development.
Front Office Support
Prepare, review, edit and compose correspondence, internal and external memorandums, meeting minutes, emails and other communications.
Provide recommendations and supporting documentation for administrative and management process improvements.
Collect, assemble and provide daily operational data and reports to the Management Team.
Track and execute regional Correspondence Analyst Task Tracker (CATT) system actions.
Provide oversight and guidance for employee performance work plans and evaluations using the USA Performance management system.
Run reports, compile data and conduct analyses of threat, criminal cases and other operational information stored in LEIMS.
Maintain confidentiality of information.
PSO Program Support
Coordinate work activities and support to the regional CORs, PSOO and other Task Managers.
Assist with the determination of service requirements from federal customers.
Prepare cost estimates based on requested requirements, new task orders and wage adjustments.
Prepare/submit G514 Requisitions in FFMS.
Prepare Security Work Authorizations (SWAs).
Track task order expiration dates and ensure timely submission of approved funding and exhibits.
Review and verify monthly contract employee time sheets to ensure timely payment.
Review vendor timesheets for accuracy and reconcile against contract documents.
Conduct initial reviews of vendor invoices, document discrepancies, populate the burn rate spreadsheet and prepare the receiving tickets in FFMS.
Prepare the invoice receiving reports.
Track contract PSO training, licensing and qualification requirements.
Assist CORs with contract closeouts activities.
Conduct PSO program administrative audits and prepare forms for CORs' review/approval.
Compile data for Performance Monitoring Meeting reports.
Other duties commensurate with the position, as assigned.
Operational Support
Track, compile, report and maintain records for operational requirements: prohibited items, post visits and inspections, vehicle operation report, DHS Form 3155, incident reports, MegaCenter reports, purchase card expenditures, supplies.
Assist with official travel, Time & Attendance (WebTA), payroll reports, training for Federal Law Enforcement Officers, IT and equipment inventories.
General Office Support
Take calls, record and relay messages.
Greet visitors, verify identification and credentials, and make required referrals.
Prepare, maintain and distribute phone contact listings.
Receive, process and distribute mail.
Maintain general office files.
Other duties as assigned.
Knowledge, Skills, and Abilities (KSAs)
Proficiency in Microsoft Windows-based software and basic computer programs.
Accurate spelling, typing and attention to detail.
Ability to compile and organize reports.
Use of conventional office equipment.
Effective communication, oral and written.
Resourcefulness.
Professionalism and interpersonal effectiveness.
Meeting planned and unplanned deadlines.
Physical requirements: sedentary with occasional bending, lifting.
Minimum Education/General Experience
High School Diploma/Technical Training; Associate Degree preferred.
2 years of experience related to assistant duties.
