Job Title: Legal Operations Coordinator / Paralegal Location: Onsite, 5 days per week Industry: Multifamily Real Estate

We are seeking a highly organized, detail-oriented Legal Operations Coordinator/Paralegal to support our legal, property management, and operations teams. This role is fully onsite and plays a key part in ensuring compliance, reducing risk, and keeping our legal processes running smoothly.

Position Overview The Legal Operations Coordinator/Paralegal will oversee legal matters involving our properties, manage communication with outside counsel, maintain legal documentation, and collaborate across departments to ensure efficient resolution of legal issues. This role requires strong communication skills, impeccable organization, and the ability to manage multiple timelines in a fast-paced real estate environment.
Key Responsibilities
Legal Matters Oversight
Track ongoing and pending legal matters including evictions, lawsuits, tenant notices, and related issues.
Oversee non-payment cases initiated by property managers and sent to outside counsel.
Maintain updated lists of legal notices issued to tenants.
Monitor court-ordered payment plans for past-due tenants and ensure compliance.
Coordinate with internal team members to appear on behalf of the landlord in landlord‑tenant (LT) legal matters.
Coordinate with company officers and field teams to execute Warrants of Removal.
Provide support on ad hoc legal and administrative projects as needed.
Communication with Outside Counsel
Serve as the primary point of contact for all incoming legal matters, including lawsuits, tenant advocates, legal notices, and related communications.
Delegate required action items to internal team members or outside counsel as appropriate.
Collect, organize, and provide all requested documentation or information to outside counsel.
Track deadlines and follow through to ensure timely responses and filings.
Risk Reduction & Cross-Team Collaboration
Monitor annual entity filings, ensuring required licenses and registrations remain current; flag any issues or lapses proactively.
Partner with all departments (property management, operations, compliance, and leadership) to develop proactive solutions that reduce legal risk and prevent recurring issues.
Qualifications
2–5+ years of experience in a legal operations, paralegal, or property management legal support role (real estate or landlord‑tenant preferred).
Strong understanding of landlord‑tenant processes, filings, and eviction procedures is highly preferred.
Excellent organizational, multitasking, and communication skills.
Ability to work onsite 5 days per week.
Proficient with Microsoft Office and legal case‑tracking tools.
Bilingual in Spanish is a strong plus.
Notary Public commission is a plus
(or willingness to obtain).
