Salary:
$19.00 - $23.00
Job Purpose The Landjet Transportation Administrator plays a key role in supporting transportation and billing operations. This position is responsible for coordinating with dispatch, preparing and processing invoices, maintaining accurate records, and tracking required billing documentation. The Administrator also manages departmental email communications to ensure timely responses and a high level of customer satisfaction.
Essential Duties and Responsibilities Transportation Administration
Collect and review driver folders to verify Proof of Delivery (POD) in RR meets billing requirements.
Provide Bills of Lading (BOL) to Dispatch when required for final‑mile deliveries.
Identify missing BOLs, document discrepancies, and communicate findings to the appropriate Dispatcher and Supervisor.
Verify EFS logs related to PODs, including lumpers, late fees, and other accessorial charges.
Follow the established billing checklist and complete daily billing; mark loads as Create Invoice upon completion.
Schedule delivery appointments for confirmed work orders.
Follow up with drivers after deliveries to ensure proper upload of PODs, receipts, and supporting documentation.
Manage and categorize departmental email inboxes daily to ensure timely and accurate responses.
Escalate urgent or time‑sensitive emails to the Senior Administrator as needed.
Complete the Administrator Checklist daily to ensure operational accuracy and compliance.
Other Operational Support
Answer inbound calls related to transportation operations.
Communicate proactively and professionally with administrators, dispatchers, supervisors, and managers.
Assist with additional projects and tasks as assigned.
Required Skills and Abilities
Excellent verbal and written communication skills.
Strong interpersonal skills with the ability to handle sensitive and confidential information with professionalism and discretion.
Exceptional organizational skills and attention to detail.
Proficiency with Microsoft Office Suite or similar software.
Ability to work collaboratively in a team‑oriented environment.
Demonstrated integrity, professionalism, and confidentiality.
Education and Experience
High School Diploma, GED, or equivalent required.
One to three (13) years of related administrative or transportation experience preferred.
Working Conditions This position is based in a temperature‑controlled industrial office environment. The facility also includes a cold storage warehouse, and, on limited occasions, exposure to temperatures as low as –10°F may be required.
Physical Requirements
Ability to lift and carry up to 1520 pounds.
Ability to sit for prolonged periods while working at a computer.
Direct Reports This position has no direct reports.
Pay Classification Hourly, Non‑Exempt (eligible for overtime).
