Position Summary:
The Office Coordinator position is responsible for managing the day-to-day operations of the office, executive calendar management and sales and operations support.
Major Job Accountabilities: Office Administration
Answer phones, maintain a neat and clean office environment, open and distribute mail, coordinate shipping and receiving, data entry, filing, binding, order office supplies, stock kitchen, and maintain office space and equipment
Schedule meetings for large groups
Oversee record retention and maintenance of file system
Coordinate all office visits
Process all Non-Disclosure Agreements
Coordinate new computer orders and track all hardware
Serve as main contact for all building facility vendors and issues
Serve as point of contact for external IT vendor as it relates to on/offboarding and equipment
Manage specific vendor relationships
Maintain office security access
Coordinate and schedule all company events
Manage Logistics for all employee events
Book travel
Assist with recruiting efforts, conduct phone screens, coordinate on-site interviews, and serve as main contact for internship programs
Facilitate new hire employee orientation and documentation for all incoming employees
Manage the employee termination process
Other duties as requested
Executive Support
Maintain/Manage President’s calendar
Support President and COO as requested
Sales and Operations Support
Complete customer screenings
Manage visitor control and tracking procedure
Attend Conferences as requested and assist with event logistics
Assist in selecting and managing inventory of promotional items
Education
Associates or Bachelor Degree Preferred
