Under the direction of the Benefits Manager, the Benefits Analyst assists in administering and communicating Midland Health benefits programs, including medical, pharmacy, retirement plans, and more. The analyst monitors, researches, and analyzes current processes, trends, and compliance requirements, maintains employee benefit files, and supports employees and plan members with questions and issues. Key operations overseen include FMLA administration, Tuition Reimbursement, Affordable Care Act requirements, invoicing, and core and optional insurance plans.

Shift & Schedule Monday – Friday: 8:00 AM – 5:00 PM

Essential Functions / Performance Expectations

Assure proper staffing levels according to policy or management requests.

Comprehend and follow healthcare regulations, adapting quickly to new laws.

Process accurate benefit documentation, collect supporting documents for life events, verify dependents, and determine evidence of insurability.

Maintain benefit files (digital and paper) in the HR drive and HRIS.

Develop communication materials for new employee orientations, open enrollment, and mid‑year changes, and distribute notices via eBrochures, postcards, videos, and live presentations.

Distribute benefit communication materials by email to new hires, newly eligible employees, PPACA, life events, COBRA, and open enrollment groups.

Guide employees with enrollment or login questions and assist with claim filings for FMLA, life, STD, LTD, accident, hospital indemnity, critical illness, HSA, FSA, EAP, etc.

Respond promptly to walk‑ins, phone, and email inquiries, including claim processing issues and HSA customer identification processing.

Utilize vendor websites to export audit data, register employees, and provide access to providers, claims, and temporary insurance cards.

Apply Microsoft Office skills (Excel VLOOKUPs, pivot tables) to track enrollment events, evidence of insurability exceptions, and verification status.

Monitor Dayforce notifications for new hires, job assignments, terminations, dependent verifications, and life event enrollments.

Respond to CMS forms and National Medical Support Notices, updating benefit elections and payroll deductions.

Assist in admin of 403(b), 457(b), and 401(k) plans, resolve escalated employee issues, and conduct annual retirement audits.

Provide functional support on payroll/HRIS regarding benefit deductions, payroll corrections, PTO donations, and system audits.

Prepare and maintain bi‑weekly payroll deduction reports and process benefit vendor invoices and expense reports.

Coordinate and ensure project deadlines are met, including special projects such as Open Enrollment, Years of Service banquet, and benefit implementation.

Act as liaison with department personnel and third‑party vendors, supporting system testing, data interfaces, audits, and development of test plans.

Monitor and troubleshoot enrollment issues in HRIS, resolve file feed errors (EDC FML errors, BCBSIL discrepancy reports, etc.).

Manage relationships with benefit service providers and plan administrators, attending meetings and resolving complex vendor issues.

Maintain a positive atmosphere, facilitating cross‑functional collaboration, and participating in recruiting events or front desk coverage as needed.

Provide guidance and training on benefits policy and procedures to managers and HR staff, including presenting the FMLA course.

Review and validate Year‑End processing, such as 1095‑C per ACA requirements.

Administer all aspects of FMLA, including employee assistance, departmental communication, return‑to‑work restrictions, long‑term disability claims, and payroll removal.

Education & Experience

High school diploma or equivalent (BS degree preferred).

Five (5) or more years as a Benefits Coordinator or Analyst.

Experience with HRIS systems (design, development, testing).

Proficiency in Microsoft Excel (pivot tables, VLOOKUPs).

Bilingual in Spanish strongly preferred.

Excellent customer service skills; proficient in telephone and email follow‑up.

Experience conducting stand‑up training sessions.

Ability to work efficiently under multiple deadlines and changing priorities, producing high‑quality material with meticulous attention to detail.

Proficiency in Microsoft Office.

Physical Requirements

Stand, walk, sit, stoop, reach, lift, see, speak, and hear.

Lifting limited to 35 lbs. for clinical staff and 50 lbs. for non‑clinical staff; use assisted‑lift devices or additional assistance for heavier loads.
