Job Description
Our Chestnut Ridge, NY location is looking for an
Order Entry Service Representative
who is a self-motivated and detail-oriented individual. This role ensures the proper booking of orders within our international distribution channel, along with ensuring legal compliance is followed in the areas of export administration, and control within government rules and regulations, including appropriate licensing for shipments for sales orders worldwide. Essential Duties and Responsibilities This person will work with both internal and external customers on the following tasks: Responsibilities include: Entering orders into an ERP booking system Proofs all orders for accuracy & release by the end of each business day Print & e-mail sales order acknowledgments to customers and the appropriate sales engineer Resolving order discrepancies Prepares formal quotations & or proposals as requested by sales engineers & customers Enters and tracks quotations within the salesforce database Engaging in heavy customer contact via email Ensures all proper paperwork is filed in each order folder; ex: packing list, invoice , forwarder instruction, etc. Ensure process and proper documentation completed to comply with our audit regulations Maintain excellent customer service to internal customers via email. Periodically update required spreadsheets. Checks multiple customer portals along with the customer support box for new purchase orders throughout the day Answers inbound calls on published sales phone line and assist or route customers to the appropriate salesman or department Communicate and interface with other departments to expedite shipments and resolve customer issues. Resolve customer complaints and/or issues in a proactive and timely manner, raising critical issues to management when necessary Review export documentation for accuracy and compliance Engage with carrier/forwarder for shipment scheduling and follow up Review customer and ensure we comply to US government rules and regulations; check against denied party list Requirements
College degree or equivalent Similar work/business experience (customer service, export compliance) Proficiency withe-mailalongwith excellent Excel and Word skills Experience reading and understanding POs and contracts Basic understanding of accounting principles Be detail-oriented Ability to be flexible, and work in a constantly changing and dynamic environment Ability to multi-task activities, set priorities, and achieve deadlines is key to successful performance Experience shipping to foreign countries Knowledge of INCO (International Trade) terms Knowledge ofexport license requirements, andharmonized tariff codes Not required but welcomed
Understanding of Letter of Credits, Return Authorizations, andISO requirements Knowledge of shipping terminology includingBOL and AWB. Salary Range
$42,800.00-$57,100.00 Pay Transparency
