Location: Los Angeles, CA 90056 (100% onsite, no remote work)
What We’re Looking For: We are seeking a Program Assistant II who will provide support to the Family Services Specialist. The role includes the following responsibilities:
Create and maintain new parent or provider files, including filing required documentation.
Review and ensure proper documentation is provided.
Prepare forms, notices, and correspondence regarding missing documentation.
Enter client information into GEARS and other internal databases.
Make follow‑up phone calls to providers regarding terminated parents.
Set up appointments for new enrollments/recertifications and follow up on rescheduled appointments and no‑shows; send letters to parents requesting documentation for re/certification.
Follow the Interagency Transfer Agreement process when sending families to or receiving families from other agencies.
Maintain the private agency waiting list by updating, editing, and verifying information.
Check for qualifying need, residence of families, and child care needs within our service area.
Sort and distribute incoming mail; serve as backup for monthly claim processing as needed.
Perform other tasks as assigned.
Qualifications:
High school diploma required; Associate of Arts degree in Social Sciences preferred (years of related experience may substitute for the degree).
Minimum one year of experience working with parents receiving subsidized child care or social support services, and at least one year in an administrative or clerical support position.
Knowledge and competency with GEARS and other database applications.
Understanding of county, state, and federal program requirements for Alternative Payment and Child Care Subsidy Programs.
Excellent problem‑solving skills and ability to handle challenging customer calls or requests.
Great attention to detail and broad application of program knowledge.
Ability to work with diverse individuals, groups, and management levels.
Excellent verbal and written communication skills.
Flexible and able to manage multiple tasks, handle changing priorities and deadlines.
Strong organizational and administrative skills; ability to produce accurate work under tight deadlines.
Works under general supervision on routine work; refers to the specialist or supervisor for clarification or questions on unusual cases.
