SUMMARY A

Front Office Specialist

is trained to act as the first point of contact, setting the tone for a world‑class Total Patient Experience. This employee will also perform the necessary administrative responsibilities to create a smooth check‑in/out experience for patients.

LOCATION

Work is primarily performed in a standard office or clinical setting. Travel to other locations may be required to carry out essential job duties and responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Embrace and execute our Total Patient Experience to build relationships with all patients while delivering great service and support.

Provide exceptional customer service during every patient encounter (in person or via phone).

Display a professional attitude, greet patients promptly with a smile, and thank them when they leave.

Answer phones (both external and internal) and assure prompt, courteous service at all times.

Practice urgency at all times with consideration to the patient’s time, as well as the doctor’s time and schedule.

Double‑check insurance authorizations to ensure completion and build accurate flow sheets.

Check out patients and collect correct payments according to procedures.

Manage patient flow in the office and ensure communication to maximize efficiency and customer service.

Complete daily reconciliations, close day, and countdown cash drawer.

Comply with all company policies and procedures, including HIPAA.

Perform general office duties and cleaning as assigned by the manager.

QUALIFICATIONS

Previous medical office experience preferred; previous ophthalmic experience strongly preferred.

Minimum of 1 year in a customer/patient‑facing position or the equivalent combination of education and experience.

Favorable result on background check as required by state.

Must provide proof of identity and right to work in the United States.

EDUCATION AND/OR EXPERIENCE

High school diploma or GED required.

LICENSES AND CREDENTIALS

None.

SYSTEMS AND TECHNOLOGY

Proficient in Microsoft Excel, Word, PowerPoint, Outlook.

PHYSICAL REQUIREMENTS

Frequent walking (75%), sitting (50%), and standing (50%). Regular bending, stooping, and reaching (25–50%). Can lift, carry, push, and pull up to 25 lbs. Strong fine motor skills and full use of hands required. Visual and auditory acuity—including color, depth, peripheral vision, and focus—required 100% of the time. Occasional driving or climbing may also be necessary.
