Admin Coordinator (Senior Level)
Pay:
$35.00–$40.00/hr Schedule:
Monday–Friday, 8:00am–5:00pm Location:
Onsite – Madison, WI 53718 Duration:
1-year contract
Role Summary Provide high-level administrative support to the Madison Device Manufacturing site and Site Leadership. This role ensures smooth day-to-day operations by coordinating schedules, meetings, travel, onboarding, and site-wide activities while supporting projects and key initiatives.
Key Responsibilities
Support Site Leadership with calendar management, meetings, travel, and expense reporting (Concur).
Coordinate leadership and site-wide meetings, including agendas, materials, rooms, and catering.
Assist with hiring logistics, including interviews, onboarding, IT setup, and workspace coordination.
Manage SharePoint sites, distribution lists, and internal communication channels.
Handle general office administration, including mail, couriers, vendors, supplies, and budget tracking.
Reconcile monthly P-Card statements.
Schedule and track site-wide training sessions and attendance records.
Create and manage surveys using SurveyMonkey or Microsoft Forms.
Coordinate furniture and equipment orders and work with Facilities on support requests.
Support site events, leadership initiatives, and company programs (CSR, ESG, social committees).
Provide administrative support to additional Madison-based teams as needed.
Qualifications
Strong administrative, organizational, and multitasking skills.
Proven ability to handle confidential information with professionalism.
Advanced proficiency in Microsoft Office; SharePoint experience preferred.
Comfortable using teleconferencing and IT systems.
Excellent written and verbal communication skills.
Proactive, resourceful, and able to work independently with minimal supervision.
Professional, positive, and approachable demeanor.
Pharmaceutical, medical, or related industry experience preferred.
Minimum Requirements
Education:
BS/BA or equivalent business/administrative experience.
Experience:
10+ years in a similar senior administrative role supporting Director-level leadership or higher.
