Safety Administrator – Guardian Fleet Services
The Safety Administrator supports the Safety and Compliance Department by executing daily safety operations, maintaining accurate driver qualification (DQ) files, reviewing Samsara safety events, and assisting with reporting, incentives, and training coordination. This role focuses on data accuracy, consistency, and timely follow-through while working closely with the Safety Coordinator, Safety Director, and Regional Safety Managers.
Primary Responsibilities
Conduct first‑level daily review of Samsara safety events.
Apply established guidelines to classify events (Needs Coaching, Dismissed, Recognized).
Communicate at‑risk behaviors and notable events to the Safety Director, Regional Safety Managers, and Safety Coordinator per guidance.
Identify and report camera or gateway issues to the appropriate location.
Pull weekly Samsara data and prepare summary reports highlighting trends or areas of concern.
Incentive Program Support
Track infractions communicated to Safety and update incentive tracking tools.
Flag drivers who may no longer qualify for incentives.
Provide updated incentive tracking data to the Safety Coordinator prior to monthly, quarterly, or annual reviews.
Samsara Gift Card Program – Administrative Support
Pull preliminary lists of drivers who appear eligible based on defined criteria.
Draft and send confirmation emails once approved.
Prepare and distribute gift cards after eligibility is confirmed by the Safety Coordinator.
Maintain documentation of distribution.
Driver Qualification (DQ) File Management
Create and maintain new DQ files; update files as requested.
Run initial MVRs and document insurance eligibility.
Request and document FMCSA Clearinghouse queries (initial).
Receive required documentation from HR (application, background check, drug screen results, employment verifications) and file appropriately.
Update DQ files with random drug and alcohol test results.
Add new drivers to required training requests (SSTA, TIMS, Great Academy).
Upload training certifications to DQ files upon completion.
Follow up locations for 7‑day drive time documentation and road tests.
Safety Documentation
Properly file Safety Meeting notes, sign‑in sheets, and related documents in SharePoint using standard naming conventions.
Other duties as assigned.

Professional communication skills.
Comfort working in Samsara, SharePoint, LMS platforms, and compliance systems.
Education and Experience
High school diploma or equivalent.
Experience in safety, administrative support, or fleet operations preferred.
Physical Requirements The job requires frequent use of hands to handle and input data, as well as the ability to sit for extended periods while monitoring safety systems. May occasionally require lifting/moving objects up to 20 pounds, filing, or reaching for records. Good hearing and vision required.
