Practice Group Operations Specialist
Join our team at Baker McKenzie as a Practice Group Operations Specialist. In this role, you will support the Director of Business Management, Americas Practice, by handling day‑to‑day operations for our Tax, Litigation, and Transactional practice groups. This position may be based in Miami, Dallas, Houston, Tampa, or Chicago.
Main responsibilities
Collaborate with attorneys and practice professionals, and work with Firm business professionals such as Talent Management, Business Development, Knowledge Management, Finance/Accounting, Recruiting, LPM, IDE, Pro Bono, and CLE.
Track and maintain Practice Group budgets and expenses.
Maintain membership lists, track new hires, departures, leaves of absence and vacations, and provide awareness to the broader Practice Group.
Establish consistent frameworks for meetings and communications, support Firm processes, and follow up on initiatives/action items.
Oversee administrative details for meetings and special events (scheduling, logistical planning, distributing invites).
Support the Operations Manager in managing and enhancing staffing resources, including the Associate Availability Dashboard, Practice Group directory, and other resources for staffing decisions.
Provide a weekly summary of associate productivity and availability.
Support development and management of utilization and capacity‑management reporting and processes.
Run ad‑hoc reporting requests and liaise with the finance team to answer management queries.
Monitor time‑entry compliance and follow up with timekeepers.
Prepare monthly financial reports/presentations to communicate KPIs with partners.
Support oversight of timekeepers, and assist Talent Management with associate availability, recruiting, onboarding, mobility, and performance management processes.
Respond to general department information requests from attorneys and staff.
Ensure implementation of cross‑practice and cross‑functional initiatives at the regional level across North and South America.
Coordinate resources from other Business Professional functions to ensure coverage and strategy execution.
Skills and experience
Relevant undergraduate degree.
Some experience in a bilingual professional services environment, preferably in law, consulting, or accounting.
Proficiency with Microsoft Office (PowerPoint, Excel).
Excellent oral and written communication skills in Spanish and English.
Effective communication at all organizational levels.
Strong business sense and sound judgment in problem‑solving.
Ability to manage multiple projects with attention to detail and accuracy.
Ability to work effectively in informal teams, collaborating across practices and functions in a global organization.
Critical and strategic thinking to provide analysis and recommended solutions.
Quick learner who embraces new technology.
High interpersonal skills to handle sensitive and confidential situations.
Resourceful, highly organized, detail‑oriented, and proactive.
