Human Resource Coordinator Harvard University Central Administration (CADM) seeks an HR Coordinator to support a wide range of operational needs within the HR Consulting team. The role focuses on ensuring a positive employee experience for new hires, current staff, and department leaders, while maintaining efficient HR processes and technology systems.

Location & Employment Details Cambridge, MA – On‑site/Hybrid (work schedule and location determined by department; must comply with University policy on employment outside Massachusetts).

Job Overview Full‑time, Non‑exempt, Salary Grade 054. The position includes a 3‑month orientation and review period and is designated as hybrid. Before employment, candidates must meet work‑location sponsorship requirements.

Job‑Specific Responsibilities On/Offboarding Logistics:

Send onboarding information regarding I‑9 eligibility and benefits to new hires; follow up as needed.

Distribute onboarding/offboarding checklists to employees and hiring managers.

Primary contact for contingent and student hiring; provide guidance on managed service provider processes.

Coordinate provisioning/de‑provisioning of equipment, systems, and office setup with department leads.

Track paperwork completion and manage record retention.

Interface with payroll for applicable form preparation and distribution.

Primary Intake:

Answer eligibility and procedural questions from managers and staff; triage to HR Consultants.

Manage appointment scheduling, including one‑on‑one meetings, team sessions, new hire orientations, stay interviews, and exit interviews.

HRIS/Reporting/Payroll Interface:

Maintain position tracking and job posting systems (PeopleSoft, Smart Recruiters); act as frontline resource.

Complete payroll job actions and new hire forms; input directly into PeopleSoft as required.

Upload, edit, and submit job descriptions to PeopleSoft and Smart Recruiters.

Create performance appraisal documents and orientation forms in PeopleSoft.

Provide HRIS support using QlikView and PeopleSoft for monthly census reports and ad‑hoc needs.

Develop dashboard metrics and annual salary‑increase forms.

Generate ad‑hoc reports for clients.

Pro‑forma & Nonstandard Letters/Document Preparation:

Draft and send confirmation letters for title changes, grade changes, and extensions.

Prepare initial drafts of separation agreements and layoff materials; coordinate project escalation.

Unemployment Administration:

Prepare and submit claims; coordinate with HR Consultants and payroll as needed.

Generate quarterly unemployment reports.

Oversight of Internal Documentation:

Organize digital files on HR SharePoint and maintain internal HR processes and procedures.

Maintain personnel files in ECM and hard copy, ensuring regulatory compliance.

HR Communications & Engagement:

Draft employee communications supporting engagement (wellness events, performance review updates, best practices).

Distribute weekly updates to the HR Consulting team covering meetings, coverage, and recognitions.

Qualifications Required:

Three or more years of customer‑service‑focused experience or equivalent education and experience.

Preferred:

College degree or equivalent combination of education and experience.

Skills:

Poise, tact, discretion, confidentiality, and sound judgment in all interactions.

Experience with multiple technologies and comfort with data troubleshooting.

Strong attention to detail, curiosity, initiative, and follow‑through.

High organization level; efficient, transparent, and timely task performance.

Strong interpersonal and communication skills; professional image.

Strong writing ability for clear, concise communication.

Additional Information

Standard Hours/Schedule:

35 hours per week.
