Under the direction of a designated supervisor, the Business Office Coordinator ensures that business office functions are completed, including front desk operations, check‑in and check‑out of clients, compilation and verification of demographic and financial data, issuance of authorizations, and maintenance of schedules and templates for clinical staff.
Works independently and demonstrates good judgment, organizational skills, adaptability to a fast‑paced environment, and excellent customer service for clients and staff.
Responsibilities
Ensure accurate check‑in and check‑out of patients according to procedures.
Complete all required documentation.
Verify and enter data and eligibility documentation.
Collect, track and monitor demographic and financial data.
Communicate financial eligibility and pertinent information to management.
Schedule all appointments for consumers per procedures.
Notify management of problems with services or schedules.
Create and maintain scheduling templates in the agency’s system.
Review, build, and correct templates/schedules and notify consumers and clinicians.
Adjust staff schedules for PTO or administrative leave.
Monitor appointment availability, no‑shows, and cancellations.
Prepare and submit accurate reports within specified timeframes.
Collaborate with others and participate in team activities.
Attend required agency meetings and trainings.
Maintain professional behavior and provide excellent customer service to staff and clients.
Demonstrate ethical conduct, professionalism, and confidentiality.
Adapt to changing work requirements in a fast‑paced environment.
Comply with agency policies, accrediting and regulatory bodies, and performance contract documentation requirements.
Education & Experience
High School Diploma or General Education Diploma.
Minimum 1 year of experience in healthcare, revenue management, cash flow management, front desk/reception, or customer service (combined experience may be across settings).
Knowledge, Skills & Abilities
Well‑developed interpersonal, organizational and problem‑solving skills.
Team player with a desire to provide high level of customer service.
Strong verbal and written communication skills; interact effectively at all levels.
Ability to maintain confidentiality and communicate effectively and tactfully.
Strong computer skills including e‑mail, Excel and agency information systems.
Proficient keyboarding skills.
Excellent organizational and time‑management skills.
Bilingual (English/Spanish) preferred.
