Office Manager (Therapy Office) – Part-Time
Base pay range:
$20.00/hr – $30.00/hr
A growing behavioral health practice is seeking an organized, dependable, and polished professional to support client experience and daily operations. This part‑time position offers the opportunity to transition to full‑time as the practice continues to grow.
This role blends client communication, scheduling, billing support, and administrative coordination. The ideal candidate is highly organized, works well independently, and brings professionalism, warmth, and confidence to a fast‑paced clinical environment.
Key Responsibilities:
Client Experience & Intake
Serve as the primary point of contact for new and existing clients
Provide compassionate, trauma‑informed communication
Support clients through intake, paperwork, scheduling, and insurance questions
Match clients to appropriate clinicians based on specialty and availability
Scheduling & Administrative Support
Manage clinician calendars, cancellations, reminders, and waitlists
Maintain organized documentation, forms, and consents
Assist with coordination‑of‑care requests and communication workflows
Ensure smooth daily operations for both in‑office and hybrid schedules
Billing & Insurance Support
Assist with invoicing, payments, and outstanding balances
Verify insurance benefits and eligibility
Support clinicians with accurate billing codes and documentation
Operational & Team Support
Support day‑to‑day office operations and internal communication
Adapt quickly to changing priorities and urgent situations
Represent the practice professionally in all interactions
Requirements:
5+ years of administrative or client‑facing experience (healthcare or behavioral health strongly preferred)
Experience with EHR systems (required)
Strong organizational skills with the ability to manage multiple workflows
Proficiency with Google Workspace
Ability to work independently with sound judgment
Clear, professional written and verbal communication skills
Comfort maintaining boundaries while having direct, compassionate conversations
Hourly rate: $20–$30/hour, based on experience
Schedule: Part‑time with potential to move to full‑time in 3–6 months
Collaborative, people‑first company culture
