Durand & Associates is seeking a highly organized, compassionate, and detail-oriented Office Administrator to join our mental health practice. This key role serves as the primary point of contact for clients and therapists, ensuring smooth day-to-day operations and providing essential administrative support. The ideal candidate is personable, organized, proactive, and passionate about supporting mental health services. Key Responsibilities

Client Relations & Scheduling: Answer and return phone calls and emails in a professional and timely manner Schedule, reschedule, and confirm client appointments Manage the practice’s calendar and therapist availability Provide warm, supportive communication to clients, helping them feel welcomed and cared for Administrative & Office Support

Maintain a clean, organized, and welcoming office environment Perform light cleaning duties Check mail and file Assist Durand & Associates Director/CEO Assist with intake paperwork, insurance verification, and billing coordination Scan EOB’s & Client Documents as needed Ensure accurate record-keeping and file management in compliance with confidentiality standards Support onboarding of new therapists, including training on office procedures and systems Ensuring that current therapists contracts/documentations are signed and up to date. Assistant to Practice Owners: Provide direct administrative support to the practice owners Help manage communications, scheduling, and special projects Assist in organizing internal operations and improving workflow efficiency Support strategic initiatives and confidential tasks as directed Marketing & Social Media

Assist marketing teams as needed. Help manage and update social media platforms with relevant content Assist in planning and executing community outreach, workshops, or other marketing events Contribute to marketing strategies to help grow the practice and enhance community visibility Help set up advertising that reaches different demographics are rural areas in North Dakota Send out welcome boxes to new clients and keep supplies stocked. Team Coordination

Serve as a liaison between therapists and clients to ensure seamless communication Provide administrative support to therapists as needed Promote a positive, supportive team culture within the practice Grant Writing & Non-Profit

Assist in setting up grants to help promote programs Help create a non-profit organization Qualifications

High school diploma Previous experience in a healthcare, mental health, or administrative setting preferred Excellent verbal and written communication skills Strong organizational and time-management abilities Proficiency in scheduling software and office tools (e.g., Google Workspace, EHR systems, social media platforms) Discretion and professionalism with confidential information Friendly, approachable, and client-focused demeanor Preferred

Experience with medical billing or insurance processes Knowledge of HIPAA regulations Marketing or social media management experience Compensation

Pay Range: $15-20 per hour, depending on experience and qualifications Opportunities for performance-based raises Benefits
