Position Overview The Project Administrator for the
Environmental Department
provides comprehensive administrative and project coordination support to Project Managers, executive leadership, and field teams. This role is essential in organizing, tracking, and supporting geotechnical project activities to ensure efficient execution and timely completion.
Responsibilities include answering phones, Project Setup, maintaining project schedules, coordinating assignments, orders for supplies, managing documentation, and supporting financial performance for environmental projects. The Project Administrator also assists with reporting, addresses potential issues, incorporates feedback, and collaborates closely with Environmental Project Managers and Coordinators.
Project Coordination & Tracking
Schedules staff for onsite out of office work. Coordinates supply delivery.
Creates Projects in VantagePoint.
Supports Project Managers in daily needs: Report compilation, shipping, access agreements, etc.
Financial & Budget Support
Tracks proposals, bid submittals, requests, etc.
Communication & Client Interaction
Communicates with clients, landowners, project managers to aid in explanation of project timelines, expectations, etc.
Team & Cross‑Functional Support
Collaborates with Environmental Project Managers, engineers, technicians, and other team members to align on project priorities and updates.
Identifies issues affecting project progress and assists in problem resolution.
Qualifications
Associate’s or Bachelor’s degree in Business, Project Management, or a related field preferred.
5+ years of experience in project coordination, administrative support, or operations within a technical or service‑based industry.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with project management software (e.g., MS Project, Smartsheet, Monday.com) is a plus.
Excellent verbal and written communication skills.
Ability to work both independently and collaboratively in a fast‑paced environment.
Familiarity with engineering, construction, or environmental services terminology and workflows is preferred.
Travel Requirements
This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for off‑site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
Physical Demands & Work Environment
This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
Position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in‑person interactions.
The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
The physical demands of the job may include occasional standing, walking, bending, and lifting office materials up to 15 pounds.
