Payroll Administrator – Overview Loeb Electric is seeking a detail-oriented Payroll Administrator to oversee the company’s payroll function. The role ensures timely and accurate payroll processing, compliance with all state and federal regulations, and data integrity. This hands‑on position collaborates closely with the Finance and Human Resources teams to deliver excellent internal associate service.

Responsibilities

Process bi‑weekly payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions.

Maintain accurate payroll records and reports for new hires, terminations, and pay‑rate changes.

Review and analyze current payroll, benefits, and tax procedures to recommend and implement process improvements.

Partner with ADP to optimize payroll processing and benefits enrollment workflows and ensure tax compliance.

Track 401(k) loan repayments and facilitate the 401(k) audit.

Audit and reconcile data linkages between payroll and other third‑party systems (401(k), benefits, etc.) to ensure accurate data display.

Communicate proactively to address associate questions related to payroll with high‑level service.

Ensure compliance with all federal, state, and local regulatory reporting requirements and internal policies, procedures, and controls.

Facilitate internal and external payroll tax and accounting audits.

Audit W‑4s, payroll balance sheet accounts, YTD earnings; monitor PTO balances; and manage annual reporting including ACA.

Complete employment and wage verification requests and reconcile unemployment claims.

Maintain confidentiality of sensitive associate data in accordance with regulations.

Partner with HR to implement new modules, workflows, and automation.

Stay updated on payroll‑related legislation and advise management on required actions.

Oversee electronic file maintenance management.

Qualifications

Minimum five years of payroll experience.

Extensive knowledge of ADP Workforce Now system.

Proficiency with MS Office, especially Excel.

Strong knowledge of payroll functions, including preparation, balancing, internal control, and payroll taxes.

Education

Bachelor’s degree in Accounting, Business Administration, Human Resources, related field, or equivalent experience.

Essential Job Functions

Occasional lifting and carrying of up to 20 pounds.

Prolonged periods of sitting, standing, walking, or moving between departments or meeting locations.

Regular reaching, grasping, and handling of office materials; frequent use of hands and fingers for keyboarding, writing, filing, and operating office equipment.

Specific vision and hearing requirements for reading documents and communicating.

Work performed in a professional office environment; may involve occasional travel to other company sites.

Potential use of safety footwear or high‑visibility vest when visiting the warehouse.
