Job Description Faegre Drinker has an opportunity for a Legal Administrative Assistant to work with our Patent Prosecution practice in our Fort Wayne or downtown Indianapolis office. You will be part of a dynamic team dedicated to providing a full range of legal administrative support to the assignments in a timely and efficient manner. This position will work with other talented individuals who share a passion for doing great work in the best interest of our clients.

What you would do

The Patent LAA will provide a full range of legal administrative support to the assignments in the assigned practice group in a timely and efficient manner. This includes but is not limited to matter opening and closing, vendor management, general attorney administrative support, expense reimbursement, creation of engagement letters, conflict checks.

Accurately and timely enter and/or close assignment timesheets in Intapp and Billstream.

Extensive proforma and billing review and edits.

Coordinate client billing processes and process general payment requests.

Efficiently utilize all necessary Firm/practice group software (Inprotech, Intapp Billstream, Chrome River, conflicts/matter opening software, iManage, Outlook, Word, Excel, etc.).

Schedule meetings, conference calls and travel arrangements.

Effectively utilize the team to manage the workload and meet priority deadlines.

Other administrative tasks, as assigned.

What Is Expected

Ability to problem-solve.

Strong proofreading skills, ensuring accuracy and attention to detail in all written communications and documentation.

Ability to monitor, maintain, and respond to client email communications and manage the inbox efficiently.

Excellent interpersonal, verbal and written communication skills, including the ability to communicate effectively in a virtual environment (e.g., via phone, web/videoconference).

Demonstrated ability to use good judgment in taking initiative while asking for direction or clarification and consulting others, as appropriate.

Willingness to be flexible with time and adjust to a changing work environment.

Ability to build and maintain positive relationships, both internally and externally, while maintaining a client service orientation.

Ability to use sound judgment and discretion in dealing with highly confidential information.

Demonstrated ability to work independently, organize and accurately prioritize work, be detail-oriented, understand when urgency is required and use good judgment in varied situations.

What Is Required

5 – 10 years of legal administrative experience, preferably in intellectual property.

Internship, working, or other forms of experience of at least two or more years in patent prosecution practices is highly desired, but not required.

Minimum of high school graduation; business school, paralegal certificate or related professional legal secretarial degree preferred.

Experience in an Am Law 100 or Am Law 50 firm preferred.

Proficiency in Microsoft Outlook, Word and Excel.
