Job Overview The

Field Service Representative/Mailroom Specialist

provides exceptional office and mail services in a “floating” capacity, covering roles that are normally performed by regular employees when they are out of office or when projects require additional coverage. The position handles assisting with mail, reception, hospitality, facilities, and copy/print services, traveling to clients as required. Flexibility and adaptability are essential for success.

Duties and Responsibilities

Provide five‑star customer service to all employees in all forms of communication.

Answer all calls and provide an exceptional customer service experience for incoming/outgoing visitors.

Assist with light facilities duties, including troubleshooting tickets, ordering supplies, and stocking kitchens/service areas.

Receive inbound mail/packages, sort and enter data into chain‑of‑custody software.

Manage outgoing mail/package transactions and shipping/receiving duties.

Notify employees upon receipt of inbound deliveries.

Distribute mail/packages to company personnel.

Assist with office moves, copy/print orders, and monitor copy/print equipment.

Set up and tear down conference rooms for meetings/events as needed.

Seek additional work during downtime and build professional relationships.

Maintain professionalism and composure when interacting with all employees.

Train backup staff and provide guidance on policies and procedures.

Handle sensitive inquiries appropriately and provide exceptional customer service to clients.

Provide front‑of‑office coverage (reception or concierge) as requested.

Competencies

Strong verbal and written communication skills.

Excellent customer service skills.

Proficiency with MS Office Suite.

Ability to handle multiple tasks simultaneously.

Good organizational skills.

Working knowledge of MFD equipment.

Understanding of shipping/receiving procedures.

Capable of working independently on projects.

Ability to determine proper packing materials and validate packing slips.

Availability for flexible schedule and hours.

Qualifications and Education Requirements

High School Diploma or equivalent (required).

6+ months of prior work experience (preferred).

Ability to work assigned hours as determined by the manager.

Excellent organizational and time‑management skills.

Analytical and problem‑solving aptitude.

Superior written and verbal communication skills.

Current knowledge or ability to learn computer‑based systems.

Maintain a professional appearance and attitude.

Adhere to all policies and procedures.

Physical Demands

Approximately 50% of the time involves physical demands.

Fine and/or gross motor skills: grasp, lift, or carry packages on a standard wheeled cart (capacity 60 lbs).

Ability to walk, bend, kneel, stand, or sit for extended periods.

Manual dexterity required for office machinery (phone, copy machines, binding equipment, etc.).

Ability to lift or move 40 lbs or greater frequently.

Travel None or negligible.

Pay Range $21 – $23 USD
