Job Overview The Department of Chemical and Systems Biology at Stanford University seeks a 100% FTE Administrative Associate 3 to provide administrative support to several faculty and their lab members. The ideal candidate will work independently and within a team, demonstrate outstanding communication and relationship‑building skills, have an eye for detail, and be proactive and able to multi‑task.
Responsibilities
Act on behalf of the supervisor or department manager in establishing priorities and resolving administrative problems.
Plan and schedule complex conferences, seminars, and events, including vendor coordination, logistics, and budget management.
Compose and edit documents and correspondence for presentations, course handouts, grants, reports, and communications; maintain accuracy of unit documents, brochures, social media, and websites.
Manage calendars, resolve conflicts, arrange travel, and oversee travel compliance with university policies.
Create complex reports and spreadsheets, using specialized software and systems as needed.
Process complex financial transactions, monitor budgets, and reconcile statements; assist with capital or special equipment requests.
Coordinate routine maintenance services, office moves, and minor renovation projects.
Lead or supervise student and temporary workers, including scheduling, workload assignment, quality review, and performance feedback.
Maintain the position under a hybrid work arrangement subject to operational needs.
Desired Qualifications Bachelor’s degree preferred.
Education & Experience (required) High school diploma and four years of administrative experience, or a combination of education and relevant experience.
Knowledge, Skills, and Abilities (required)
Advanced computer skills and experience with office software and email applications.
Strong oral and written communication skills.
Excellent organizational skills and attention to detail.
Excellent customer service and interpersonal skills.
Ability to prioritize, multi‑task, and assign work to others.
Ability to take initiative and ownership of projects.
Ability to independently exercise sound judgment.
Ability to follow through and complete projects.
Certifications & Licenses None
Physical Requirements
Constantly perform desk‑based computer tasks.
Frequently sit, occasionally stand, walk, reach, grasp, and use a telephone.
Lift/carry objects up to 10 pounds.
Rarely twist, bend, stoop, squat, kneel, or crawl.
