Responsibilities
Act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative problems.
Conduct advanced scheduling for Stanford and affiliated training sites; analyze data to support decision‑making for clinical and administrative leadership.
Oversee or perform duties related to scheduling, organizing, and operating complex conferences, seminars, and events; coordinate vendors, manage budgets, and handle logistics.
Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; edit and fact‑check content for accuracy; maintain unit documents and online presence.
Plan and schedule calendars, resolve conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
Oversee and process financial transactions and reimbursements.
May lead staff or supervise day‑to‑day work of student and/or temporary workers, including scheduling, assigning, reviewing work quality, and providing performance review input.
Other duties may be assigned.
Education & Experience (Required) High school diploma and four years of administrative experience, or a combination of education and relevant experience.
Knowledge, Skills, and Abilities (Required)
Advanced computer skills; proficiency with Microsoft PowerPoint, Word, Excel, and email applications.
Ability to follow through and complete projects.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize, multitask, and assign work to others.
Ability to take initiative and ownership of projects.
Ability to exercise sound judgment independently.
Must learn and troubleshoot online grant submission platforms.
Desired Qualifications
Healthcare or Graduate Medical Education experience preferred.
Complex scheduling experience preferred.
College degree.
Prior work experience at Stanford University or higher education strongly preferred.
Understanding of the organization of Stanford University Medical Center or similar academic medical center preferred.
Ability to independently compose/draft correspondence on behalf of department leadership.
Demonstrated ability to work well with internal and external stakeholders.
Physical Requirements
Constantly perform desk‑based computer tasks.
Frequently sitting.
Occasionally stand/walk; reach or work above shoulders; grasp lightly or forcefully; use a telephone; sort/file paperwork; lift/carry/push/pull objects up to 10 pounds.
Rarely twist/bend/stoop/squat; kneel/crawl.
