Essential Job Duties Building Operations & Maintenance
Oversee daily operations and maintenance of all building systems, including HVAC, electrical, plumbing, fire/life safety, elevators, roofing, and building envelope.
Develop and manage preventative maintenance programs to maximize equipment life and minimize downtime.
Respond to and resolve maintenance issues and emergency situations promptly.
Perform regular building inspections and document findings.
Vendor & Contractor Management
Manage third-party vendors and contractors (janitorial, HVAC, landscaping, snow removal, security, etc.).
Obtain bids, negotiate contracts, and oversee vendor performance.
Ensure vendors comply with safety standards, insurance requirements, and building policies.
Budgeting & Financial Management
Prepare and manage the facilities operating budget.
Track expenses, review invoices, and control operating costs.
Identify cost‑saving opportunities without compromising service or safety.
Tenant Relations
Serve as the primary point of contact for tenant maintenance requests and building concerns.
Coordinate tenant improvements, office moves, and after‑hours work.
Communicate building updates, maintenance schedules, and emergency notifications.
Safety, Compliance & Risk Management
Ensure compliance with Illinois and local codes, OSHA standards, ADA requirements, and fire/life safety regulations.
Maintain required inspections, permits, and documentation.
Implement and oversee emergency response plans (fire, severe weather, power outages, etc.).
Conduct safety training and drills as required.
Sustainability & Building Efficiency
Monitor building performance and energy usage.
Implement sustainability and energy‑efficiency initiatives where feasible.
Coordinate utility management and track consumption.
Administration & Reporting
Maintain accurate records for maintenance activities, warranties, service contracts, and inspections.
Prepare regular reports on building operations, capital needs, and performance metrics.
Utilize computerized maintenance management systems or work order platforms.
Hire and supervise other facilities personnel, including couriers.
Knowledge, Skills, And Abilities Technical Skills
Strong working knowledge of commercial HVAC, electrical, plumbing, and life safety systems.
Familiarity with Illinois building codes, OSHA regulations, and ADA requirements.
Ability to read construction drawings and technical manuals.
Soft Skills
Strong organizational and time‑management skills.
Excellent communication and customer service abilities.
Proven problem‑solving and decision‑making skills.
Physical Requirements
Ability to manage multiple priorities and respond calmly in emergencies.
Ability to walk the property, climb ladders, and access mechanical spaces.
Ability to lift up to 50 pounds as needed.
Work Schedule
Full‑time, primarily weekday hours.
On‑call availability for emergencies, including evenings, weekends, and severe weather events (e.g., snow removal coordination).
Availability for after‑hours or emergency response as required.
Education & Experience
Bachelor’s degree in Facilities Management, Engineering, Business, or related field; or 5+ years of facilities or building management experience in a commercial office environment.
Experience managing buildings of similar size and complexity preferred.
Certifications (Preferred)
Certified Facility Manager (CFM), Facility Management Professional (FMP), or similar.
HVAC, OSHA, or other relevant technical certifications a plus.
