We’re seeking an Operations Manager to serve as the operational backbone of our growing organization. In this role, you’ll ensure seamless day‑to‑day execution while building the systems, processes, and infrastructure needed to scale. You’ll work cross‑functionally with our Investigations, Customer Success, Sales, and Technology teams to optimize workflows, maintain compliance, and drive continuous improvement across all operational functions.

Operational Strategy & Process Excellence

Partner with the SVP of Operations and Department Heads to implement operational improvements and scale systems across the organization

Build and maintain real‑time capacity monitoring systems to ensure accurate resource allocation and prevent bottlenecks before they impact delivery timelines

Design and implement KPI dashboards providing visibility into team capacity, SLA performance, quality metrics, and cost analysis

Identify operational inefficiencies and implement process enhancements that support scalability

Lead automation initiatives and SOP development to reduce manual touchpoints and improve consistency

Establish and maintain centralized documentation systems with version control and accessibility standards

Workflow & Systems Management

Manage and monitor project workflows in Jira, ensuring timely status updates and accurate completion tracking

Maintain data accuracy and synchronization between Jira, Salesforce, and other operational systems

Manage operations provisioning and deprovisioning for all information services and platforms

Implement secure systems for password management and access control, ensuring proper offboarding protocols when team members depart

Vendor & Compliance Management

Manage full vendor lifecycle: onboarding, contract tracking, renewals, and annual rescreens

Coordinate with international contractors and vendors across multiple time zones to ensure capacity coverage

Own PI licensing compliance across multiple states (NY, CT, CA) with plans to expand to additional jurisdictions

Manage bi‑annual employee background rescreens including authorization forms and report distribution

Respond to client due diligence questionnaires related to security & compliance

Participate in audits and quality assurance reviews to ensure adherence to company policies and industry regulations

Cross‑Functional Coordination

Establish and maintain cross‑functional communication protocols between Sales, CS, and Investigations teams

Coordinate client RFPs received from the sales team, facilitating internal department collaboration to win business

Support client intake processes including RFP/RFI coordination and screening program setup

Serve as an operational point of contact for TAT and capacity questions, ensuring consistent communication standards

Experience And Expertise

Bachelor’s degree in Business, Operations Management, or related field

3‑5 years of experience in operations, preferably in financial services, financial technology, GRC, or professional services

Strong proficiency in operational tools including Jira and Salesforce

Demonstrated ability to build dashboards and reporting systems that provide real‑time operational visibility

Experience with vendor management, workflow optimization, and project management

Lean Six Sigma certification (Green Belt or higher), PMP, or other operational excellence certifications preferred

Technical And Analytical Skills

Strong analytical skills with the ability to identify patterns, bottlenecks, and opportunities for improvement

Experience building automation workflows or working with operations/process automation tools

Comfortable with data analysis and using metrics to drive decisions

Leadership and Collaboration

Excellent communication and stakeholder management abilities across all levels of the organization

Proactive problem‑solver who anticipates issues rather than reacting to them

Comfort with ambiguity and ability to create structure in fast‑moving environments

Previous experience managing international vendor relationships and navigating cross‑border operational complexity preferred

Physical Requirements

While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer, telephone, and keyboard.
