Front Office Specialist – Northwest Women’s Care Shift: Full-Time Day (United States)

Customer Service

Greet patients and guests warmly, following AIDET principles.

Answer incoming calls, direct them appropriately, take messages, handle non-clinical processes, and schedule appointments.

Communicate quickly with patients regarding delays or wait times.

Collaborate with clinical staff and providers in a team approach.

Manage patient call wait times, monitor queues, respond to voicemails, and offer callbacks for patients on hold too long.

Operations / Revenue Cycle

Register and schedule patients, verify insurance eligibility via Experion, scan insurance cards and IDs into the EHR, and ensure completion of necessary paperwork.

Collect co-pays and outstanding balances in accordance with the WMG LD90 cash management policy.

Manage cash allowance, verify opening balance, account for change and collections, and balance superbills/posting report with bank bag each daily close.

Check patients out, collect deductibles or self-pay balances, set up payment arrangements, and schedule subsequent visits.

Contact patients for appointment reminders.

Administrative

Coordinate with the clinic for pharmaceutical representatives, visitors, sample pick‑ups, and other clinic requests.

Other duties as assigned.

Complies with all WellStar Health System policies, standards of work, and code of conduct.

Required Minimum Education

High School Diploma or Equivalent.

Required Minimum Experience

1–2 years of administrative front office experience in a physician practice or health care setting – Preferred.

Previous customer service experience – Required.

Required Minimum Skills

Essential computer skills.

Medical terminology including coding (CPT‑4, ICD‑9, HCPCS) – Preferred.

Knowledge of insurance filing and requirements.

Strong verbal and written communication skills.

Proficiency in English with a positive attitude, teamwork orientation.
