Job Summary The Communication & Event Manager (CEM) follows the strategy from the Executive Director and Fundraising & Marketing Committee to lead the planning, implementation, and tracking of all communication and special events needed to sustain and grow the mission and work of Brazos Valley Food Bank (BVFB). The role includes ensuring the successful planning and execution of BVFB’s Special Events, coordination of logistics for third‑party fundraisers, development and updating of marketing collateral, oversight of external communication requests, and collaboration across departments to maintain a mission‑centric approach.

Special Event Planning, Execution and Tracking

Consult with the Executive Director and Fundraising & Marketing Committee on key players, themes, décor, etc. for events.

Plan and execute BVFB‑led events, including developing timelines, coordinating venues, vendors, contractors, and volunteers.

Delegate clerical tasks to the Community Experience Assistant (CEA) and ensure follow‑through.

Plan, develop, and obtain approval for all promotional strategies, including invitations, sponsorship packages, videos, social media, and press releases.

Develop a detailed run‑of‑show for each event to keep roles clear and tasks on schedule.

Coordinate with the Fund Development Manager to secure monetary sponsors.

Coordinate with the Accounting & Fundraising Professional on event donation collection processes.

Document all event processes, schedule After Action Reviews, and capture lessons learned.

Third‑Party Fundraisers Coordination and Tracking

Build and maintain relationships with third‑party event organizers, securing annual commitments before budgeting.

Attend events to take photos, ensuring compliance with BVFB branding and fundraising guidelines.

Track outcomes and evaluate event effectiveness for future planning.

Organizational Communications – General

Manage all external communications across website, email, social media, and print by producing, reviewing, and publishing accurate, engaging content.

Ensure brand consistency using approved visual standards, tone, and messaging.

Maintain style guides, templates, and collateral, updating them regularly.

Develop high‑level messaging that aligns with leadership guidance and BVFB strategic goals.

Storytelling, Photo & Video Content

Collect stories from neighbors, volunteers, donors, and partners in a dignified manner reflecting diversity.

Capture high‑quality photos for various platforms while adhering to brand and dignity standards.

Plan, record, and edit video content supporting fundraising, advocacy, and education.

Secure required release forms and archive them for compliance and future use.

Maintain an organized digital library of photo, video, and story assets for easy internal access.

Ensure storytelling and imagery is diverse, representative, and mission aligned.

Website Management

Oversee timely updates, layout adjustments, and content audits.

Manage donation pages and web‑based appeals for clarity and donor engagement.

Monitor analytics to evaluate visitor behavior and recommend improvements.

Email Communications

Coordinate monthly e‑newsletters and educational email updates.

Ensure accuracy, clarity, and dignity in all email messaging.

Maintain segmented email lists for donors, volunteers, partners, and general audiences.

Track performance metrics and use data to refine strategies.

Social Media Management

Develop content with a strategic calendar aligned with BVFB priorities.

Ensure scheduled posting for consistency.

Respond to comments and messages per communication policies.

Analyze platform insights to identify trends and strengthen engagement.

Identify opportunities for collaborations, campaigns, and new digital engagement strategies.

Annual Report

Lead collection of data, photos, key accomplishments, letters for the report.

Manage design and layout for a clear, professional report.

Develop infographics, graphs, and charts to illustrate data.

Coordinate review and approval processes with leadership and staff.

Media Relations

Draft and distribute media advisories and press releases.

Serve as the primary media contact, coordinating all interviews through the Executive Director.

Track all media activities, including inquiries, opportunities, and mentions.

Maintain updated media contact lists across all counties served.

Staff Support & Supervision

Oversee all Event and communication training, goal setting, coaching for the CEA.

Conduct scheduled one‑on‑one meetings and performance discussions.

Instill importance of the highest customer service in the CEA.

Check all work of direct reports before external release.

Recommend training and conference opportunities for growth.

Handle all disciplinary action per policy for CEA performance or conduct.

Conduct workload management meetings with CEA and Fund Development Manager.

Conduct required joint performance reviews of the CEA.

Assist with hiring of new Development Department members when requested.

Policy Development & Implementation

Research, draft, and approve procedures such as Communication Style Guide, Crisis Communication Plan, AI in Communications, Social Media comments response.

Expense Management

Develop annual expenses based on historical spending and potential needs.

Ensure expenses adhere to budget.

Review bids, quotes, and proposals, discuss with Executive Director before action.

Compliance, Audits, Monitoring Visits, and Reporting

Represent Communications and Events during auditing events.

Ensure BVFB strategies adhere to contractual obligations.

Ensure all required department reports are completed and submitted on time.

Review reports to analyze trends, needs, etc.

Use of Technology

Ensure technology is used efficiently to enhance efficiency.

Use of Volunteers

Identify, communicate volunteer needs, training, and supervision with direct reports.

Develop written job descriptions and required skills.

Other Tasks

Maintain Standard Operating Procedures (SOPs) for events and communication tasks.

Follow all BVFB written policies and procedures.

Get approval from the Executive Director for unbudgeted expenditures.

Discuss ideas and changes with the Executive Director before acting.

Attend all 1:1 sessions with the Executive Director.

Attend strategy meetings with the Executive Director and Fund Development Manager.

Attend all staff quarterly meetings.

Communicate effectively and in a timely fashion with the Executive Director.

Engage in relevant Feeding America opportunities.

Serve as BVFB representative on Feeding Texas committees and trainings.

Plan for and control change.

Keep empowerment of people facing hunger in mind with all work.

Assist in BVFB disaster efforts when needed.

Other duties as assigned.

Qualifications

Educational:

Degree in Communication, Marketing, Public Relations, or related field.

Professional:

Minimum 3 years of paid, relevant experience in large‑scale event planning and professional communication/marketing, preferably in a nonprofit setting.

Experience taking professional photos with samples of real‑life utilization.

Experience with video production for professional application.

Experience with public speaking in a professional setting.

Experience interviewing (storytelling) and being interviewed (media).

Experience with website design and updates in a professional setting.

Experience developing and sending press releases and media advisories.

Computer/Technical Skills:

Proficiency in Microsoft Office (Excel, PowerPoint, Google Docs), Canva or other design tools, WordPress, social media pathways, analytics, photography, video editing, email Outlook, and video conferencing tools.

Soft Skills:

Other:

Passion for the mission of feeding people; ability to give and accept constructive criticism; must pass criminal background check; possible overnight stays for conferences/trainings.
