This position serves as the Administrative Associate to the Chemistry & Biochemistry Department Chair by providing support in a broad range of areas. The incumbent serves as a liaison to the faculty, students, and staff within the department, as well as to the College of Arts & Sciences, the University, the State, and other professional offices.
Overview of Responsibilities
Assisting the Department Chair in daily administrative operations Serving as the departmental representative for faculty promotion and tenure Assisting Chair and Evaluation Committee in faculty evaluation processes Coordinating and designing promotional material for annual faculty retreat, symposia and colloquia, and departmental lecture series Assisting Chair in departmental faculty meetings Organizing faculty recruitment processes Assisting department administrative staff with setup for seminar receptions and other events Primary Duties Include
Maintaining the Chair's schedule of appointments, coordinating travel arrangements, and assisting Chair with additional university commitments Hosting and coordinating travel and schedules for campus visitors Interpreting administrative policies of the university and department; advising callers, visitors, etc. of those policies Creating and assembling faculty binders used in promotion processes Serving as FACET/AOR representative Maintaining FEAS (CV system) used for promotion and tenure, as well as the re-accreditation process Organizing evidence of performance reports for faculty evaluation Additional Duties Include
Organizing receptions and maintaining schedules for departmental conference rooms Recording minutes, organizing voting processes, and ensuring parliamentary protocol and procedures faculty meetings Coordinating travel arrangements and acting as the main contact for faculty recruitment candidates while on campus Preparing faculty sabbatical applications Maintaining department and faculty files and performing other administrative duties and special projects as assigned Ensuring the daily operating procedures for CSL building (such as copier maintenance and bulletin board updates) are up-to-date Qualifications
A high school diploma or equivalent and two years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.) Preferred Qualifications
The ideal candidate for this position is someone who can effectively communicate both verbally and in writing, as well as prioritize, organize, and perform multiple work assignments simultaneously. They also preferably possess: The ability to establish and maintain effective working relationships Knowledge of applicable computer applications and basic computer functions The ability to maintain accurate records and retrieve files from active or archive sources; an understanding of basic filing practices Knowledge of and an ability to interpret and apply relevant federal, state, and local laws, ordinances, rules and regulations, as well as FSU policies and procedures The ability to gather, interpret, report, and edit information University Information
