Payroll Specialist
Position Overview
Our distribution client is seeking a detail-oriented Payroll Specialist on a temporary/contract basis to support accurate and timely payroll operations for an hourly workforce. This role will focus on time collection, review, and payroll preparation using ADP, working closely with supervisors, managers, HR, and corporate payroll to ensure compliance with company policies and labor regulations.
Key Responsibilities Time Collection & Review
Monitor daily time and attendance entries for accuracy and completeness
Review employee timesheets, clock-in/clock-out data, and schedule variances
Identify and correct missing punches, incorrect job codes, and unapproved overtime
Ensure all time entries comply with company policies, wage and hour regulations, and distribution operations requirements
Coordination & Communication
Partner with supervisors and managers to obtain approvals and resolve timekeeping discrepancies
Communicate with employees regarding timekeeping questions, corrections, and clarifications
Provide guidance on timekeeping procedures, ADP system use, and policy requirements
Data Preparation & Submission
Prepare, validate, and finalize timekeeping data for payroll processing
Verify hours worked, PTO usage, shift differentials, and premium pay
Submit accurate and approved time records to corporate payroll within established deadlines
System & Record Maintenance
Maintain accurate and organized timekeeping and payroll records
Assist with payroll audits, reporting, and system updates as needed
Support HR and Payroll teams with timekeeping-related inquiries and compliance checks
Qualifications / Must-Haves
Previous experience in a
payroll or timekeeping role , preferably supporting a
distribution, logistics, or warehouse environment
Hands‑on experience with
ADP
(time and attendance and/or payroll modules)
Strong understanding of hourly payroll, overtime, and wage and hour compliance
High attention to detail and ability to identify and resolve discrepancies
Strong communication skills and ability to work cross‑functionally with operations and HR
Ability to work independently in a fast‑paced, deadline‑driven environment
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
