$21.00/hr – $21.00/hr

Position Summary The Patient Care Coordinator is responsible for performing a variety of duties to maintain an efficient front office which could include obtaining authorizations, scheduling appointments, obtaining patient medical records, and responding to medical record requests, as well as other various tasks. Communication with staff in all departments is paramount in this position, ensuring that proper care is provided to patients. This position provides information to patients so they may fully utilize and benefit from the clinical services. This position requires a mature and flexible individual who can deal with a wide range of personalities and responsibilities. The individual needs to be highly organized and motivated. This position also requires the individual to be able to prioritize the workload while working independently and to have the initiative to think problems through and seek assistance when needed. The job holder must demonstrate current competencies applicable to this job description. What You Will Be Doing

Greets patients and visitors in a prompt, courteous, and helpful manner.

Screens and directs all incoming telephone calls professionally and efficiently.

Checks‑in and registers patients arriving for their appointments and obtains registration forms, reviewing for completeness and verifying insurance cards. This may include patient check‑out at the end of the visit ensuring that the process is complete.

Receives and processes payments accurately.

Maintains the office petty cash box by reconciling it at the end of each day and ensuring the box is kept locked at all times.

Fulfills clerical responsibilities as assigned that include sending/receiving patient medical records, obtaining lab/X‑ray reports, hospital notes, referral information, test results, etc. timely.

In preparation for applicable appointments, managing and updating charts to ensure that information is complete, that the patient’s medical record is current, and that the documents are filed appropriately.

Completing forms/requisitions as needed; document scanning and indexing.

Adheres to the company’s insurance and authorization policy by verifying insurance eligibility and benefits and patient demographics, obtaining authorizations, and making detailed notes in the patient’s account including documenting conversation and payment arrangements.

Initiates requests for authorizations for all services ordered by the physician if authorization is required for other providers. This may require coordination with primary care physicians/IPA’s etc. if additional referrals are needed. STAT & Retro Requests may be necessary.

Schedules appointments applicable to the practice. Scheduling may be for consultations, treatment, surgeries, procedures, follow‑up visits, outside diagnostic studies such as bone scan, MRI, CT, ESWL, as well as referrals and other types of appointments. This includes surgery scheduling, which may be either by phone when the patient calls in or in person after an office visit.

Reviews patient’s medications and health history to determine pre‑admission testing.

May schedule appropriate medical and cardiac clearances.

Responds appropriately to emergency codes.

Orders, sorts, stores supplies; restocks exam/procedure rooms; files and scans.

What You Will Bring To The Team

2 years’ experience in the medical field required, urological experience preferred.

Specific assisting tasks related to the medical practice.

Appropriate information to convey to patients and families.

Health care field and medical office protocols/procedures.

Current blood borne pathogen and bio‑hazardous waste procedures as they apply to the duties of this position.

Infection Control Practices.

Medical terms and vocabulary.

Bilingual – Spanish and English.
