Job Overview The Patient Access Representative II is responsible for coordinating and facilitating patient registrations and admissions by obtaining pertinent demographic, financial, and insurance information. The role ensures timely registration, promotes patient satisfaction, and maintains compliance with billing regulations.
Qualifications
High School diploma
Customer service experience
Minimum of 3 years Patient Access experience
Knowledge of registration, non‑Federal and Federal billing regulations, and state programs such as Charity Care
Medical terminology and computer skills
Scheduling Requirements
Day Shift, 8:30 am – 5:00 pm
Rotating weekend and holiday schedule
Full‑Time, 40 hours per week
Essential Functions
Provides excellent customer service to all patients, colleagues, and other external and internal customers
Interviews patients, family members, and other responsible parties to gather demographic and financial information for scheduling, pre‑registration, or registration
Obtains and accurately documents all demographic information
Obtains insurance information and initiates verification via a third‑party clearinghouse
Completes verification of coverage for all insurances and financial clearance activity
Meets and exceeds department goals including accuracy, point‑of‑service collections, and productivity
Ensures all required forms are provided, reviewed, properly explained, and signed by the patient or an approved representative
Informs patients of financial responsibility, collects appropriate amounts, issues receipts, and reconciles daily cash collections
Provides back‑up support to hospital cashier and completes cashier functions as assigned
Completes Medicare Questionnaire on eligible patients
Reviews all work queues daily and takes required actions to correct errors and ensure accurate billing accounts
Places patients in appropriate beds, tracks assignments, and ensures timely movement within the hospital as assigned
Demonstrates proficiency in pre‑admission, registration, and financial clearance processes
Exhibits efficiency, accuracy, and productivity at a high level
Verifies accuracy of patient demographic information to avoid duplicate medical records
Follows department procedures for duplicate medical records
Complies with policies on Advance Directives and Patient Rights
Obtains required signatures and witnesses all patient signatures on regulatory documents
Maintains department productivity by accepting additional duties when patient flow permits
Prioritizes customer needs
Observes and reports on customer service performed by other members
Demonstrates initiative, resolves problems proactively, and escalates issues to leadership when necessary
Reflects a commitment to a supportive work environment and maintains a positive attitude
Collaborates closely and professionally with nursing and ancillary departments
Participates in training, including development of tools, presentations, and training of registration staff outside the access department
