POSITION SUMMARY The Trauma Registrar provides superior quality, competitive value, and outstanding service by establishing and maintaining the efficient operation of the trauma registry. Responsibilities include accessing trauma cases, reporting to state and national agencies, following patients with codable trauma injury, abstracting, inputting, and analyzing registry data, including ICD-10 coding of injuries and coding of Injury Severity Scale, and disseminating data in accordance with national and state trauma mandates. The role maintains compliance with the National Trauma Database (NTDB) and American College of Surgeons Trauma Quality Improvement Program (TQIP) under Florida Department of Health mandates as a designated Trauma Center.

PRIMARY ACCOUNTABILITIES

Initiate case‑finding techniques to capture reportable cases of patients with codable injuries admitted, transferred, or died, to create and maintain complete and valid databases.

Complete 80% of analytic abstracts accurately within 60 days from discharge, evidenced by random abstract review and Florida Department of Health tracking.

Maintain national and state data system standards in collecting and analyzing data on all reportable injuries; attend and participate in the Trauma Performance Improvement Committee, Trauma Quality Meeting, Florida state meetings, and at least one scheduled trauma department community outreach activity annually.

Interpret clinical documentation to ensure ICD‑10 codes and Injury Severity Score coding are clearly reported and consistently supported by the health record; uphold regulatory compliance by consulting validated coding references and validating accuracy of codes assigned by the ITDX Trauma Validation Tool.

Perform case‑list reviews identifying and abstracting reportable cases, maintaining current database for annual TQIP reporting and quarterly reporting to the National Trauma Database, Florida Department of Health, and ensuring compliance with statewide mandates.

Assist the Trauma Medical Director, Program Manager, and Performance Improvement Coordinator with submission control and data validation for Florida and national TQIP; review medical record QAs, monthly Trauma Quality Data metrics, and quarterly reports to ensure compliance.

Coordinate obtaining and abstracting external information to complete case reviews, including Medical Examiner, EMS, and referring facilities reports.

Provide trauma‑specific data to staff, physicians, and administrators; compare hospital registry data with national and state data.

MINIMUM QUALIFICATIONS

Education: Trauma Registry Course through American Trauma Society within 12 months of start date.

Abbreviated Injury Scale (AIS) course through Association for the Advancement of the Automotive Medicine (AAAM) within 12 months.

ICD‑10 Trauma Injury Coding course within 12 months and re‑completed every 5 years.

Work Experience: Minimum 8 years in trauma registry.

Licensure: None.

Certification: None; or Certified Specialist in Trauma Registries (CSTR) within 36 months and maintained; Certified Abbreviated Injury Scale Certification (CAISS) within 36 months and maintained.

Continuing Education: Complete 8 trauma‑related Continuing Education Credits (CEC) annually.

Skills/Knowledge/Abilities: Proficient with MS Excel, Word, PowerPoint; strong keyboarding skills; ability to use or learn Digital Innovation V5 Registry Database; critical thinking; keen attention to detail; ability to manage multiple projects; adaptable to flexible job duties.

PHYSICAL REQUIREMENTS

Majority of time involves sitting or standing; occasional walking, bending, stooping.

Long periods of computer use at workstation.

Light work may include lifting or moving objects up to 20 pounds.

Exposure to indoor environments with varying temperatures, air quality, lighting, and moderate noise.

Communicate with others to exchange information.

Visual acuity and hand‑eye coordination to perform tasks.

Workspace may vary from open to confined.

May require travel to various facilities within and beyond county perimeter; may require use of personal vehicle.
