A real estate brokerage firm is seeking an experienced

Real Estate Office Manager

to serve as the backbone of our operations and executive support. This person will be the

right hand to the leadership team , ensuring smooth day‑to‑day management of administrative tasks, agent oversight, tenant relations, and office workflow. This role requires

proactive leadership, accountability, and excellent communication skills . You will manage support staff, communicate directly with agents and landlords, and uphold operational excellence in a fast‑paced real estate environment.

Key Responsibilities Office & Administrative Management

Serve as the primary point of contact for office operations

Oversee day‑to‑day tasks and ensure effective workflow throughout the office

Perform executive assistant responsibilities for the CEO, acting as a trusted second‑in‑command

Manage PTO scheduling and general administrative cadence

Team Leadership & Oversight

Supervise and support the office secretary, including task delegation and quality control

Ensure invoicing from the secretary is accurate and submitted on time

Monitor and support agents’ daily activities and compliance

Lease & Application Coordination

Review lease agreements and documents for completeness and accuracy

Oversee application processing and ensure thorough follow‑through

Maintain direct communication with tenants, landlords, and agents regarding lease details

Marketing & Advertising

Ensure property ads are published and stay live across platforms as required

Coordinate photography scheduling and asset collection for new listings

Client & Landlord Relations

Act as a key contact for agents, landlords, and tenants

Address inquiries, concerns, and follow up on outstanding items

Qualifications

Previous experience in a real estate administrative or office management role

Strong organizational and multitasking skills

Experience managing support staff and coordinating with multiple stakeholders

Excellent written and verbal communication

Detail‑oriented, with strong follow‑up and accountability

Ability to work onsite Monday–Friday (10:00 AM – 6:00 PM)
