Development & Membership Associate The Buffalo Zoo

– Location: Buffalo, NY. Reporting to the Development Manager, this role supports the development and membership departments, handling financial processing, recordkeeping, and documentation. The associate also assists with administrative functions and supports cultivation, solicitation, and stewardship activities for the Zoo’s capital campaigns.

Compensation & Benefits Full‑time, non‑exempt hourly position. Salary range: $22.00‑$23.00 per hour. Benefits available after 60‑day probation: health plan, HSA/HRA, FSA, life insurance, long‑term disability, dental, vision, 403B retirement plan, annual leave, holiday time, and sick time.

Essential Functions

Prepare donor acknowledgment letters.

Process all financial and in‑kind gifts to the Buffalo Zoo and Buffalo Zoo Foundation, including membership, annual fund, memorial, and capital campaign contributions.

Maintain the CRM database (currently Donor Perfect) with accurate data entry and upkeep of donor and prospect records.

Perform administrative duties for the Advancement Team.

Participate in zoo‑wide special events as needed.

Maintain foundation, corporate, and individual donor files, including gift documentation and agreements.

Handle incoming phone calls and provide information about donor/membership programs and Zoo events.

Assist with direct mail related to membership and the annual fund.

Prepare and maintain pledge invoice requests.

Run monthly reports to maintain an accurate database.

Participate in fulfillment of membership sales and “Adopt‑An‑Animal” gifts.

Assist with inventory, purchasing, and receipt of supplies and printed materials.

Maintain development files.

Conduct periodic on‑site membership and “Adopt‑An‑Animal” sales.

Communicate verbally and in written form with Zoo staff, Board members, government officials, and other stakeholders.

Perform other duties as assigned by Advancement Team managers.

Education & Experience Education (Minimum Desired) : Bachelor’s degree or equivalent combination of education and experience.

Experience (Minimum Desired) : Two years of database management experience; preference for donor CRM database experience.

Knowledge / Skills / Competencies

Strong attention to detail.

Patient, friendly attitude.

Full‑time, in‑office position.

Proficiency in Microsoft Office and Google applications.

Availability for occasional weekends, evenings, and holidays.

Valid New York State driver’s license within 30 days of employment; maintain a satisfactory driving record.
