Position Overview
Reporting to the Interim Director of Development, the Development Associate plays a key supporting role in advancing the Museum’s mission through membership, donor engagement, and fundraising efforts. Working collaboratively with the Development team and colleagues across the Museum, this position provides administrative and project support, assists with donation and membership processing, and helps bring donor‑centered programs and events to life.

$25.00–$27.50 per hour
Key Responsibilities Administrative Support
Provide day‑to‑day administrative and project support for the Development team.
Assist with proofreading, file organization, and maintaining accurate records.
Development & Fundraising
Support the execution of annual fundraising strategies and campaigns.
Collaborate with Development staff to engage colleagues across departments in fund development initiatives, including sponsor recognition, campaign support, and membership training.
Draft, revise, track, and manage donor acknowledgment letters, pledge agreements, and invoices.
Assist with donor research and the preparation of donor profiles.
Prepare donor meeting materials such as presentations, briefings, reports, and summaries.
Support the updating of annual funding proposals and assist with new proposals as needed.
Track grant applications, donor proposals, reports, and supporting documentation.
Coordinate orders for catering and donor stewardship gifts.
Assist with creating and preparing donor events and related materials.
Prepare development‑related mailing lists and coordinate mailings.
Membership
In collaboration with the Director of Development, support member acquisition, upgrade, and retention strategies. Provide recommendations for new membership initiatives based on research, reporting, and observation.
Process memberships, donations, and development campaigns in the Museum’s CRM database (Patron Manager, Salesforce).
Produce timely and thoughtful gift acknowledgment correspondence and administer the monthly membership renewal process.
Review and update membership communication templates and development correspondence to ensure clarity, accuracy, and consistency with the Museum’s voice.
Track and report donor and member activity using the CRM.
Reconcile development revenue with the Finance team, ensuring accurate coding and reporting of all transactions.
General
Support and reflect the Museum’s commitment to justice, equity, diversity, and inclusion in all aspects of work.
Work collaboratively with colleagues across departments to support institutional goals.

Education & Experience
Bachelor’s degree preferred; Associate’s degree in a business‑related field or equivalent work experience required.
Experience with CRM databases such as Salesforce preferred.
Proficiency in Excel for creating and managing mailing lists and donation reports.
Proficiency in Microsoft Word and PowerPoint, including the creation of proposals and presentations.
Experience with Microsoft Office and cloud‑based tools (Office 365, OneDrive, Adobe Sign, MS Teams) and the ability to learn new software systems.
