The Payroll Tax Specialist is responsible for processing payroll and expense data across various entities and states, ensuring compliance with all applicable laws and internal policies. The ideal candidate will be highly organized, analytical, and capable of managing complex payroll operations in a fast-paced environment.
Job Responsibilities

Perform routine accounting operations related to employee time, payroll, and expense data for multiple entities and states.
Compile, analyze, and input payroll data using automated systems to ensure accurate and timely payroll processing.
Review and ensure compliance with federal, state, and local wage and hour laws, rules, and regulations.
Process and verify employee expense reports and advances for timely and accurate reimbursement.
Compile payroll data, including garnishments, vacation, sick leave, and deductions; analyze for accuracy and completeness.
Assist in preparing bi‑weekly, monthly, quarterly, and annual reports (e.g., gross payroll, hours worked, tax deductions, benefits).
Support the preparation and filing of monthly, quarterly, and annual federal and state payroll tax filings.
Maintain confidentiality of payroll and compensation data.
Promote continuous improvement in payroll processes, safety, and quality management systems.
Maintain effective working relationships and demonstrate a positive, punctual, and professional attitude.
Support other accounting functions and perform incidental duties such as filing, responding to employee pay inquiries, and interdepartmental communication.
Assist with audits and provide necessary documentation.
Job Requirements
Legally authorized to work in the United States, without restrictions.
Possess a valid driver’s license with an acceptable motor vehicle record.
High school diploma or equivalent required; associate’s degree in accounting preferred.
Five years or more of payroll processing experience.
Familiarity with prevailing wage and union payroll is a plus.
Strong knowledge of federal, state, and local payroll tax laws and regulations.
Extensive experience in multi‑state and multi‑jurisdictional payroll tax compliance.
Proven ability to prepare and file payroll tax returns and reports, including Federal Forms 941, 940, W‑2, W‑3, and state/local filings.
Ability to monitor and interpret changes in tax laws and regulations, and implement necessary updates to payroll processes.
Certified Payroll Professional (CPP) preferred.
Proficient in Microsoft Excel (pivot tables, VLOOKUPs, data validation).
Strong working knowledge of computers and fluency in a variety of software applications (including MS Office).
Advanced knowledge of Windows operating system (including Windows 7).
Proficiency in Workday Payroll and Deltek Vantagepoint 7.0 a plus.
